Primary Purpose of Position:

The Battleship NC Memorial Accounting Technician II is responsible for the proper handling, processing, accounting and reporting of the financial transactions occurring at the Memorial as well as within the non-profit Friends of the Battleship organization. Primary duties include payroll, purchasing, journal entry, verification and reconciliation, financial reporting, cash management, non-capital giving and foundation support, records retention, and fixed asset management.
Key Responsibilities include but are not limited to:

Cash Management:

Initiates ACH bank transfers for payroll, wire transfers between accounts, online banking, and prepare manual and electronic bank reconciliation.
Research discrepancies in posting activity, recommends corrective action by preparing journal entries and supporting documentation; verifies and reconciles journal entries prepared by Accounting Technicians; consults with Comptroller to resolve inconsistencies of account coding for contracts and expenditures.
Assist Comptroller with compiling information for annual Audit and Annual Comprehensive Financial Report (ACFR) and testing of OSC Eagle Internal Control Implementation processes.

Accounts Payable:

Prepare monthly Sales and Use taxes; prepare 1099 for vendors at the end of year for Battleship Commission; responsible for processing purchase order receivers for electronic processing of purchase orders in Macola accounting software; verifies vendor number, general ledger account number and payment date; reconciles the accounts payable receiving accrual account for open purchase orders; verifies invoice amount and description matches purchase orders and resolves discrepancies.

Payroll Functions:

Initiates ACH bank transfers and prepares journal entries for funds transfers and payroll expenses.
Responsible for reconciliation of restricted accounts; funds held for Battleship North Carolina and Friends of the Battleship, staff credit cards, payroll reconciliation for deductions for Workers’ Comp, Information Technology (IT) invoices, telephones, medical payroll expenses.
Responsible for verification of purchasing and construction contracts for the Battleship; analyzes contracts and invoices for general ledger account coding, approvals, and terms and conditions to ensure compliance with North Carolina State Procurement Policies and the Battleship Cash Management Policy; responsibilities include data entry, scanning, reconciliation of contracts, and reconciling outstanding accounts payables.

Accounts Receivables:

Prepares accounts receivables for expenditures related to fundraising and special programs.
Prepares 1099 for vendors and designates operating and non-operating bank accounts for check printing

Records Management:

Identify fixed assets and provide supporting documentation; complete fixed asset form for acquisition, disposition, and transfer; assign fixed asset numbers; prepares journal entry to reclassify fixed assets at end of fiscal year; prepares depreciation schedules; responsible for retaining records according to record retention policy; maintains retention log, prepares records for storage and disposal.

Position/Physical Requirements:

Must be able to work the schedule of Monday – Friday, 8am – 5pm with a 1 hour lunch break.
Must be able to traverse steep stairs enroute to assigned workspace and work in cramped spaces with or without reasonable accommodation.

Minimum Education and Experience Requirements

Associate’s degree in Accounting from an appropriately accredited institution
AND
one year of accounting experience; OR
High school diploma or General Educational Development (GED) diploma

three years of experience in accounting work; OR
an equivalent combination of education and experience.
