ACCOUNTS PAYABLE SPECIALIST SUMMARY
Habitat for Humanity of Wake County (HFHW) changes lives by bringing together God’s people and resources to help families in need build and own quality, affordable homes in safe and supportive communities. Since 1985, HFHWC has partnered with homebuyers, donors, and volunteers to build more than 900 safe, affordable, energy-efficient homes in all parts of Wake and Johnston counties. Reporting to the Controller, the Accounts Payable Specialist (APS) prepares and maintains business transactions, applying accounting principles. This includes analytical, evaluative, and advisory work that requires an understanding of accounting theory and practice.
ESSENTIAL FUNCTIONS
Monitor the Bill.com inbox and AP email inbox accounts. Ensures all company procedures, approval processes, and internal controls related to Accounts Payables are followed. Processes payments and controls expenses by receiving, processing, and coding (using General Ledger codes), verifying, and reconciling invoices. Strengthen and grow relationships with vendors and suppliers through timely payments. Resolves purchase order, contract, invoice, or payment discrepancies and documentation. Charges expenses to accounts and cost centers by analyzing invoice/expense reports. Monitors discount opportunities on vendor invoices. Preparing Accounts Payable checks and ACH batches. Timely and accurate filing (paper files and digital file uploading). Research assistance with special projects directed by senior staff. Assist Senior Accountants with daily processes. Assist in the preparation of the annual audit reports. Actively looking for ways to improve processes for efficiency.

EDUCATION AND EXPERIENCE
High School diploma or equivalent required Associate or bachelor’s degree in accounting or finance preferred 1-3 years of experience in accounting required Intermediate to advance experience with MS Office Suite with focus on Excel required Intermediate to advance experience with accounting software and databases required Experience with working with volunteers strongly preferred
GUIDELINES

COMPLEXITY
Responsibilities involve multitasking several activities with differing deadlines, importance, and stakeholders, requiring exceptional ability to organize and prioritize work and manage time.

The APS has frequent contact with other HFHWC staff, volunteers, suppliers, and subcontractors.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit for long periods. The employee frequently is required to stand, walk, use hands to finger, and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
WORK ENVIRONMENT
This job operates primarily in a professional office environment and routinely requires operating standard office equipment such as computers, phones, copiers, and fax machines.

SUPERVISORY CONTROLS
The APS is responsible for keeping the Controller updated on project status and problems as they occur through regular meetings. Formal reviews are held annually by the Controller.
