About the Department The NC State Veterinary Hospital (VH), established in 1983, is one of the highest rated veterinary academic medical centers in the country, serving communities throughout North Carolina as well as many other states.
The hospital staffs over twenty clinical services with board certified specialists that are nationally and even internationally renowned, ensuring the VH is on the cutting edge of veterinary medicine. Patients benefit from the combined expertise of multiple specialists utilizing a team approach to patient health care. Each year, nearly 30,000 patients are treated in the VH. The VH provides compassionate care, state of the art specialty health care, expert clinical instruction for 4th year veterinary students from College of Veterinary Medicine, and ongoing investigation of innovative techniques and procedures to further advance the field of veterinary medicine. Essential Job Duties The Accounts Payable Specialist plays a vital role in supporting the financial operations of our veterinary hospital. In this role you will ensure timely and accurate processing of payments, reimbursements, and reconciliations in accordance with university guidelines. By managing critical financial transactions and resources—such as invoices, communication devices, and internal transfers—you will help maintain the operational efficiency of a fast-paced clinical and academic environment. What you’ll do:
Process vendor payments through a variety of systems including vouchers, POs, requisitions, purchase cards, fleet cards, and our online marketplace.
Manage employee reimbursements and supplemental pay requests accurately and promptly.
Coordinate the distribution and maintenance of hospital communication devices (cell phones, pagers) for staff and students.
Reconcile financial transactions, process journal vouchers (JVs) and internal transfers (IDTs), and ensure the correct accounts are charged.
Review monthly invoices and ensure charges are applied appropriately to project accounts.
Provide backup support to our Accounts Receivable Specialist.
Contribute to special projects and assist with other fiscal duties as needed. Other Responsibilities In addition to the core responsibilities of this role, you will take on additional duties, such as:
Distributes pagers to new employees and rising fourth-year students.;
Replaces pagers as needed;
Reviews monthly invoices and charges to appropriate phase accounts;
Work on projects. Some of these additional responsibilities offer an opportunity to build on your skills, explore new areas, and gain a deeper understanding of the department’s operations.
Qualifications Minimum Experience/Education High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. Other Required Qualifications Ability to independently manage financial transactions, create reports, and monitor, track, audit, and reconcile budgets and expenditures;
Focused attention to detail ensuring accuracy and validity in complex transactions;
Excellent customer service skills to effectively convey complex technical information and accounting/financial data in a clear and concise manner;
Must be able to communicate effectively with different audiences and various organizational levels with a team-centered approach to problem-solving;
Proficient in Microsoft Excel Preferred Qualifications Experience providing fiscal support in complex environments (especially higher education/ academic departments);
Experience monitoring, reconciling, and managing funds from various funding sources.
Experience in EzyVet or similar EMR software that integrates financials with veterinary records. Required License or Certification N/A Valid NC Driver’s License required No
