The Accounts Receivable Specialist plays a critical role in maintaining accurate financial records and ensuring timely collection of receivables. The AR Specialist is expected to understand and manage construction-specific financial processes such as lien waivers, retention tracking, and percentage-of-completion billing. This role uses ERP systems to process and analyze transactions including billed invoices, sales tax reporting, collections, and more. A successful AR Specialist ensures that the company’s accounting functions run efficiently, while maintaining compliance with construction industry requirements. Essential Job Functions Process accounts and incoming payments in compliance with financial policies and procedures Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data Assist with month end close activities and financial reporting Preparation/submission of AIA billings, using billing sites such as Textura, GC Pay, and Procore Manage lien waivers, preliminary notices, and retention documentation for construction projects Handle accounts receivable collections and customer communications with diplomacy Investigate and resolve accounts receivable deductions and disputes Facilitate payment of invoices by sending bill reminders and contacting clients Reconcile cash accounts and maintain aging reports Collaborate with project managers, sales, and estimators to resolve billing issues and discrepancies Monitor and report on KPIs such as Days Sales Outstanding (DSO) and aging buckets Ensure financial reporting integrity and deliver accurate, insightful analysis to leadership Implement process improvements to streamline closing procedures and enhance internal controls Respond to ad hoc requests from management for reporting, documentation, or organization Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions . Competencies Familiarity with construction industry accounting, including retention and change order tracking Experience managing lien documentation and compliance with state-specific payment laws Proficiency with accounting software and construction platforms such as Acumatica, Procore, and Textura Understanding of notarization processes and the ability to ensure accuracy and appropriateness of documents being notarized Strong Excel skills, including pivot tables and data analysis tools High attention to detail and accuracy Strong organizational and filing skills Ability to prioritize tasks and complete projects on time Strong interpersonal skills and ability to work cross-functionally Work Environment This position works in an indoor office setting. This position may however be required to enter a shop area or perform site visits periodically in which safety, environmental and health concerns may demand constant attention. Physical Demands This is a largely sedentary role. This position may require employee to sit at a computer station/desk for prolonged periods of time up to 8 hours a day. The employee is regularly required to read, count and write to accurately complete documentation required for position. Employee must be able to use hands and fingers to operate keyboard and phone and to file and operate office equipment. This position may require some walking, bending, reaching and standing. Position Type/Expected Hours of Work This is a full-time position. Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. with a 1 hour lunch as scheduled with management. This position may require hours beyond the standard working hours listed above to satisfy job duties and department demand.
