General Summary of Duties:
The AP Specialist is responsible for all accounts payable functions for the company, including but not limited to processing invoices, producing payment selections, reconciling vendor statements, and monthly AP accrual. Generally, this position will support the Controller and assist in accurate and timely financial statements.
Major Responsibilities/Tasks:
Work directly with the contracted AP staff using BILL.com and Sage Intacct to handle the accounts payable responsibilities including but not limited to:
Invoice Processing:
Verifying and submitting invoices for processing by contracted AP staff.
Vendor Management:
Maintaining vendor files and contact information and responding to vendor inquiries. Assist the Operations department with vendor contact and investigation.
Payment Management:
Ensuring timely and accurate payments to vendors, including check preparation.
Discrepancy Resolution:
Investigating and resolving any invoice discrepancies or issues.
Reconciliation:
Assist with reconciling vendor statements and bank accounts.
Reporting:
Prepare AP reports including weekly payment selection plans and ad hoc research.
Compliance:
Ensuring compliance with company policies, accounting regulations, and internal controls. Manage 1099 Year-end filing process with contracted resources. Assist with yearly audit process as requested by Controller. • Other duties as assigned
EDUCATION/EXPERIENCE
: Associates Degree in Accounting and 2 years of related accounting experience or 4 years of related accounting experience.
REQUIRED
Work Environment:
This position operates in a variety of environments. The majority of the time is spent in a professional office environment and this role routinely uses standard office equipment. This position requires unaided lifting up to 10 pounds.
HEALTHCARE COMPLIANCE PROGRAM
All positions within Med First and RMS Healthcare are expected to fully understand Med First/RMS Compliance policies and procedures. Employees are provided training upon hire, annually and regularly notified of changes as needed. It is an expectation that all employees will report any suspected violations of any federal or state laws to either their direct supervisor, Human Resources or the Compliance Officer. .
