The Accounts Payable Specialist/Front Desk Receptionist is a dual role that will oversee our outgoing vendor payments and welcome our high value clients seamlessly into our facility. A successful candidate will be comfortable with high volume, routine, process driven tasks and the ability to pivot in a dynamic work environment. This candidate will also possess excellent organizational skills, strong communication abilities, a knack for multitasking, and strong attention to detail.

Essential Functions:

Monitor Accounts Payable email for invoices. Enter payables invoices, match accounts payable invoices, receiver reconciliation and monthly vendor statement reconciliation Communicate with vendors regarding payment status, invoice requests, and inquiries as needed Assist with payment runs Track all inbound & outbound freight charges and billings Create new Customer/Vendor accounts in Quantum, verify remit to address, confirm W-9 applicability and verification of forms Answer incoming calls and connecting callers with proper internal contacts Opening and distributing incoming mail Inventory and restock refreshments & supplies in Customer Lounge Inventory and restock Office Supply closet Inventory and restock of Employee Café supplies Provide customer service to clients as they arrive Other duties and responsibilities as assigned by the

Financial Controller Required Education and Experience:
  • High School diploma/GED
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Excel, Word, and Outlook
  • General accounting experience, specifically with AR/AP
  • 2+ years of relevant work experience
Preferred Education and Experience:
  • Aerospace industry experience
  • Quantum Control Experience
  • Customer service experience
Supervisory Responsibility:
None Work Environment:

Works in a clean, air-conditioned office space, free of noise, dust, and humidity.

Physical Demands:

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms. The employee is frequently required to stand, talk and hear. Occasional lifting of light items required. No specific vision requirements.
