SUMMARY:
Assists the Superintendent by performing central office duties and maintaining files. Acts as liaison between District and community, Superintendent and parents, and Superintendent and staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned Provides secretarial support to Superintendent. Maintain confidentiality of all confidential material. Greet community members/company representatives/school personnel. Prepares/types correspondence, forms, etc. Answers phones, responds to routine questions, or routes calls to appropriate persons. Maintains general office files. Custodian of petty cash Record all money received, enter general ledger accounting code and give to Board Secretary for deposit at bank. Reviews, processes and pays all authorized invoices. Ensures timely entry of data to automated system. Update vendors in CSIU and responds to vendor inquiry regarding payment. Maintains files of paid and unpaid invoices and purchase orders. Enter purchase orders for District Office, Special Education, FIRST Program and technology. Order supplies and print purchase orders as they are approved by Administration. Assist with annual audit and yearly budget. Prepare, verify, and distribute checks; file copies. Responds to expenditure questions from District responsibility centers. Prepares information in response to ad hoc requests for payment histories. Maintain audit files for grant programs. Check all tax collector reports for accuracy and send delinquent per capita tax to Central Tax Bureau for the calendar year. Provide information and contact tax collectors for the yearly tax collector audit. Report all worker’s compensation claims to the insurance carrier. File yearly reports, including PURTA (Public Utility Reality Tax, Gasoline Tax Report, and Health (SHARRS) Report. Maintain and update files related to school bus/van contractors and school bus/van drivers. Prepare attendance sheets and stop-to-stop sheets for bus/van contractors. Print attendance for stop-to-stop sheets and prepare a pupil transportation report for the end of year reporting. Complete and distribute seniority lists. Review DRC reports for accuracy. ACT 80 – Review Act 80 list of taxpayers and submit forms to correct school district for the taxpayers being removed. Update documents in the file sent to the teachers for the first day of school (handbooks, policies, calendars, etc.) Upload the AED PIMs report Maintains records, pays bills, prepares a monthly report and files a quarterly report for the FIRST Program grant Provides monthly Report of Receipts, Bills Paid and FIRST Program report to the School Board. Sends out W-9’s and prepare 1099’s for the District. Maintain spreadsheets on federal reimbursements for auditors and an athletic spreadsheet for the athletic end of year report. Maintain a spreadsheet for tuition reimbursement of staff members and create a spreadsheet for budgeting purposes. Prepare a yearly report – showing number of students and staff for the Superintendent Maintain member list, agendas, minutes, attendance sheets for the safety committee. Submit an annual report to HANDS for our annual renewal of the safety committee. Maintain spreadsheet and submit annual paper bid to Arin IU for the school district’s paper. Export initial excel spreadsheet from FOCUS to upload to School Messenger for parent notification system. Maintain the call lists throughout the year and re-upload to School Messenger as needed. Update yearly forms such as the school calendar, staff work calendar, Health and Safety Plan, Flip Chart and other forms as needed.

EDUCATION AND EXPERIENCE
High School graduate or equivalent plus 2 years’ of experience or training.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine and complex reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute hourly, daily, and contractual rates. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
REASONING ABILITY
Ability to solve practical problems and to deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. OTHER SKILLS and

Must have strong communication, computer and interpersonal skills. Ability to establish and maintain effective working relationships with students, staff and the school community. Dictaphone and personal computer skills necessary. Have ability to learn and utilize new software programs as systems are upgraded. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
