$13.00/hr PURPOSE The Bookkeeper is responsible for assisting the Administrative Assistant with the financial operations of the Corporation.

TASKS, DUTIES, RESPONSIBILITIES

The tasks, duties and responsibilities shall include but are not limited to the following: 1. Accounts Receivable

  • Enter client invoices as needed into Quickbooks.
  • Send customer statements at month end and past due letters as necessary.
  • Make copies of month end aging reports for President, Executive Director, Accountant, and Administrative Manager. 2. Accounts Payable
  • Match packing list(s) and/or purchase request(s) with invoice.
  • Code each invoice, review for reasonableness, past due balances and proper approval; then input into the system.
  • Print checks as necessary.
  • Print check register as necessary.
  • Match copy of check with backup and give checks and copy to the Administrative Assistant to be stamped and mailed.
  • File copy in vendor files.

3. Review all health insurance invoices with Administrative Assistant II for accuracy. 4. Match all VISA receipts with the VISA statement and maintain a spreadsheet. 5. Maintain client scholarship fund spreadsheet. 6. Reconcile Bank Statements. 7. Assist other office staff with responsibilities when time permits and/or as needed. 8. Complete bi-monthly financial statements for Board of Directors meetings. 9. Other responsibilities as assigned by the President, Executive Director or Administrative Assistant.

PHYSICAL REQUIREMENTS 1.

Ability to lift office supplies, and other normal office items up to 20 lbs. 2. Ability to operate a computer, copier, telephone, and other office equipment with reasonable accommodations.

EDUCATION AND EXPERIENCE 1.

High school degree. 2. Experience with Quickbooks computerized accounting software. 3. Two years experience in accounts payable/receivables.

NOTE:

Unless stipulated by contracts, the President and/or Executive Director has the authorization to waive the educational requirement for an individual demonstrating exceptional abilities and experience.
