Accounts Payable Clerk Job Duties:
Performs clerical accounting and financial record keeping activities including the preparation, processing, and maintenance of the county’s accounts payable (A/P). Duties include but are not limited to: receiving and verifying invoices, auditing invoices against purchase orders, reconciling credit card accounts, entering A/P with correct account codes into the financial system software, preparing batches of invoices for approval, processing various A/P reports, creating and managing weekly check runs, preparing vendor checks for supervisory review and disbursement. This position also performs a variety of administrative support functions including providing customer service and front desk support as needed. This position includes regular interaction with vendors, employees, residents, and the general public.
Key Responsibilities:
Data Entry & Processing:
Prepare and enter data by compiling, sorting, and prioritizing source documents for computer entry. Ensure accuracy and completeness by reviewing documents for deficiencies and discrepancies, resolving issues through established procedures.
Account Maintenance:
Input alphabetic and numeric information using keyboard or optical scanner in accordance with screen formats. Maintain data entry standards by adhering to company techniques and procedures.
Verification & Correction:
Review, correct, delete, or re-enter customer and account data to ensure accuracy. Combine data from multiple systems when necessary and purge files to eliminate duplications.
System Testing:
Support system upgrades and changes by inputting new data and reviewing outputs for accuracy.
Data Security:
Ensure the security of sensitive information by completing database backups and maintaining confidentiality.
Compliance & Operations:
Follow company policies and procedures to maintain smooth operations and report necessary changes.
Team Collaboration:
Contribute to team efforts by achieving results as needed and collaborating effectively with peers and supervisors.
Qualifications:
Proven working experience as an accounts payable clerk Solid understanding of basic bookkeeping and accounts payable principles Strong attention to detail and organizational skills. Demonstrate a high sense of urgency and ability to meet deadlines Proficiency in data entry and the ability to manage large volumes of information. Ability to maintain confidentiality and follow internal procedures. Familiarity with data entry software and systems is a plus. Proficiency with MS Office suite including Outlook and Excel. High degree of accuracy
Education:
High School Diploma required Associate’s degree in accounting, finance business or related area
Experience:
3 years of accounts payable experience required Any combination of education and experience equivalent to 3 years of experience will be considered
