ASSISTANT JOB DESCRIPTION
This is a highly responsible administrative position in which the employee assists the Executive Director and attends to clerical needs. This position will also serve as the Bookkeeper, responsible for financial data and compliance by maintaining accurate books on accounts payable and receivable, payroll, and daily financial entries and reconciliations. This individual will work closely with the Executive Director and other staff to carry out the Georgetown Housing Authority mission of providing decent, safe and affordable housing. This position requires public contact and handling of confidential information. The Bookkeeper/Administrative Assistant receives general supervision from the Executive Director. Principal Duties Duties include routine functions related to a bookkeeper/administrative assistant. Provides a wide variety of administrative responsibilities to the Executive Director. Perform all accounts payable functions including but not limited to coding approved invoice packages to proper accounting periods, project codes and chart of account numbers, processing check run, distributing the checks, reviewing W-9 forms and setting up new vendors, responding to internal and external inquiries, and preparation of 1099s at year end. Complete payments by processing, verifying, and reconciling invoices. Collects rent, and other charges, verifies receipts, and prepares bank deposits. Complete End of Day, End of Month, End of Year financial procedures. Work with fee accountant on necessary financial reports Accurately prepares bi-weekly employee payroll timesheets. Conducts staff onboarding and departure activities and prepares records for HR file. Perform administrative/secretarial duties including managing office supplies, coordinating office equipment maintenance, correspondence, meetings and travel arrangements. Prepares agendas, reports and schedules for meetings and other assigned events; takes and distributes minutes or other notes as requested. Creates and maintains vendor files as needed. Also collects W-9 and insurance information from all vendors. Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment. Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail. Responsible for maintaining, supporting, and promoting a safe work environment while complying with all safety rules, policies, and procedures. Work on special projects and other duties and responsibilities as the Executive Director sees fit. Qualifications Proficient in Microsoft Office Strong computer literacy and typing skills Experience in bookkeeping Excellent organizational and time management abilities Customer service experience with effective phone etiquette Familiarity with multi-line phone systems and front desk operations Previous administrative or clerical experience Education and Experience Two-year (2) associate degree from an accredited college or university or graduate of a licensed business college with three (3) years of progressively responsible experience in bookkeeping, accounting, finance, or closely related field or an equivalent combination of education and experience.
