Job Responsibilities
The Accounts Receivable General Ledger Tech records the college’s income by verifying, making, and posting deposits, writing and posting Journal Entries, and updating the college’s general ledger daily.
Verifies the accuracy of daily receipts from all cashiers and reconciles the daily reports. Post all revenue from the Bookstore, Café, and Library. Makes daily bank deposit. Post non-AR and some AR receipts of college. Verifies and signs in/out all cash or change for cashiers, cafeteria, and any other department receiving cash. Serves as the point of contact with the bank concerning deposits and other transactions.
Runs daily reports to post transactions to the general ledger, including financial aid postings, cash receipt postings, and invoice postings. Performs month-end closing procedures in Colleague.
Prepares journal entries for in-house cafeteria charges and room utilization and invoices for outside cafeteria and room utilization. Prepares and imports postage, mileage, printing and office supply monthly allocations. Post all journal entries submitted by various. Accounting personnel for the general ledger and budget entries.
Posts manual payroll checks and reconcile the payroll bank account every month. Assists Accounting Manager and office staff in implementing financial procedural changes; Voiding checks and related vouchers, and placing stop payments as necessary; Checking status of checks in Colleague and through online banking; Run minority report; Adding account numbers and object codes as needed to the general ledger; Monthly comparison of reports to reconcile AR and investigate differences; Serves as primary back-up for payroll function and maintains proficiency by performing payroll duties at least one month per year. Responsible for reconciling the college’s operating bank statement every month and preparing any necessary JE’s related to the bank statement.
Serves as a substitute cashier at the information desk as needed.
Minimum and Additional Requirements
HS diploma and experience in entry-level accounting or bookkeeping. A bachelor’s degree may be substituted for required work experience.
Preferred Qualifications
Associate degree with accounting related courses + 2 yrs of accounting or bookkeeping experience; or, HS diploma + 4 yrs of accounting or bookkeeping experience. Previous experience in accounts receivable is also desired.
Additional Comments
A knowledge of basic computer software, such as Microsoft Word and Excel, is expected. Employer
