Current bookkeeper works T&Th 8:30-2:30 on site with off site hours as needed (up to 18 hours a week). Position Summary The Part-Time Bookkeeper supports the financial operations of Knoxville Montessori School by maintaining accurate financial records, assisting with payroll, and managing tuition and donation processing. The ideal candidate is detail-oriented, organized, and comfortable working both independently and collaboratively. Experience in accrual-based accounting and non-profit financial practices is strongly preferred.

RESPONSIBILITIES INCLUDE

Operate a computerized system for complete accounting records including receivables, payables, general ledger, and payroll reports. Manage billings and collections. Post and code all receipts and reimbursements to the general ledger. Reconcile monthly bank statements for all accounts and verify reconciliations for all accounts. Post contributions to Little Green Light donation software, as well as to QuickBooks. Assisting with payroll, including transmission of necessary information to third-party payroll processing firm, and reviewing payroll transactions for accuracy. Submit required documents to accountant. Work with our auditors and accountants for annual audit. Prepare standard and requested reports for Board of Trustees, Finance Committee, and Treasurer by two business days prior to Finance Committee Meetings. Track and follow up on multiple fundraising initiatives and budget items.

Post tuition payments and donations:

For tuition: TUIO processes most payments automatically; post manual checks as needed. Notify parents of past-due balances as appropriate (note: TUIO does not apply late fees). Reconcile monthly tuition records between TUIO and QuickBooks in collaboration with the accountant. Prepare monthly report of all overdue balances as of 20th of each month and inform Head of School and Treasurer. Perform other related duties as assigned by the Head of School.

QUALIFICATIONS

Bachelor Degree in Accounting, Finance, or related field or extensive accounting experience. Knowledge of general accounting procedures. Good working knowledge of computer operations, including Quickbooks Online, Microsoft Word/Excel, Google Drive and Documents. Five years of experience in bookkeeping. Professional presentation and conduct. Excellent written and oral communication skills. Must be responsible and self-managed. Must have excellent follow-up and tracking skills. Must be detail-oriented.

  • Preferred Training and experience in school bookkeeping.
