Job Summary:

The Fiscal Assistant will be trained to support or execute the functions associated with the Fiscal Department’s operations for our Region 2 locations. The specific areas of concentration will include accounts payable processing, accounts receivable processing, and consumer funds management.

Essential Duties and Responsibilities:

Processing accounts payable activity through the financial system: check processing, invoice entry, report production, check mailing, filing of paid items, and accounts payable reconciliation. Maintain Consumer Checkbooks – Process receipts and disbursements pertaining to the consumer’s finances. Reconcile consumer checkbooks with monthly bank statements. Coordinate program activities related to various grant programs. This would include various aspects of the program operations, including, but not limited to, order processing, vendor invoicing, provider agency reimbursement, maintaining inventory levels, and issuing program status reports. Accounts receivable processing, including data entry, invoice and receipt processing, bank deposits and Waiver billing, revenue, and statistical data scheduled for actual to budget comparisons. Maintain and track travel logs, vehicle fleet, and property maintenance. Assist the Maintenance Department with completing and processing vehicle purchase orders and property maintenance. Provide backup for reception during lunch and as needed. All other duties are as assigned by the Fiscal Manager.

Supervisory Responsibilities:

This position does not involve direct supervision.

Qualifications:

Education and Experience:

High school diploma required. 1-2 years of office or financial department experience required. Experience with accounts payable/account receivable is required. Experience with Sage50/Peachtree is required.

Additional Qualifications:

Valid Tennessee, Kentucky, or Alabama driver’s license (military exceptions available). Ability to read and follow directions accurately. Strong written and verbal communication skills. Satisfactory criminal background check and clear Motor Vehicle Record (MVR). Ability to attend and pass all required training courses. A TB test within the last 12 months (or willingness to complete one upon hire).

Skills and Abilities:

Proficiency in Microsoft Excel, Word, and Sage50/Peachtree . Ability to analyze and interpret technical procedures and government regulations. Strong problem-solving and data analysis skills. Ability to work independently with minimal supervision while managing multiple tasks. Detail-oriented with excellent record-keeping and organizational skills.

Physical Demands:

Regular use of hands for typing and handling documents. Ability to sit, stand, walk, and occasionally lift up to 10 pounds .
