POSITION OVERVIEW
The Claims Manager is dedicated to overseeing and managing all claims and insurance administration-related activities. This position is responsible for end-to-end administration of claims across the multi-housing portfolio. Working closely with the operations team, carriers, and vendors, the Claims Manager ensures timely, accurate processing of workers’ compensation, general liability, flood, auto, cyber, environmental, and property claims – thereby minimizing financial exposure and safeguarding employee and resident safety.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
Incident Intake & Initial Response Partner with on-site property teams to document resident and property incidents (e.g., slip-and-fall, vandalism, water damage) using NAAClick & Comply / Leonardo247 software. When appropriate, ensure all loss events are reported to insurers within policy timeframes, capturing complete details and supporting documentation. Claims Evaluation & Oversight Triage new claims—assess severity, liability, and potential cost impact. Partner with operations team to determine next steps such as engaging third-party services or approving emergency repairs. Track each claim through resolution, maintaining clear communication with adjusters, legal counsel, and property staff. Liaison with Insurers & Vendors Serve as primary contact for insurance carriers and third-party adjusters. Respond to information requests from adjusters, attorneys, and carriers (e.g., affidavits, safety manuals, leases, etc). Coordinate inspections, damage appraisals, and vendor repairs. Ensure all claim-handling follows internal guidelines and carrier protocols; coordinate subrogation or coverage disputes. Lead claims review meetings with carriers to discuss trends and opportunities to mitigate future risk. Verify vendor compliance with insurance requirements by collecting, reviewing, and maintaining up-to-date certificates of insurance; follow up on deficiencies or lapses and enforce adherence to Company standards. Data Analysis & Reporting Maintain comprehensive claim files (photos, invoices, correspondence) using the Company’s Dropbox digital filing system. Produce monthly and annual claims reports—detailing claim counts, reserves, and average loss—to inform leadership. Supply analytical support using claims data to leadership for policy renewals and premium negotiations. Lender, Regulatory, & Industry Compliance Oversee the review process for Reasonable Accommodations and Emotional Support Animals through the Company’s ticketing system. Stay abreast state insurance regulations, health / safety code changes, and Fair Housing requirements impacting claims or property operations. Submit recommendations for continuing education for on-site staff to stay well informed of risk mitigating factors in the industry. Ensure Company insurance policies and vendor coverage meet lender requirements; coordinate with internal teams and insurance providers to maintain compliance with loan covenants and support documentation requests. Maintain & improves hurricane preparedness and disaster contingency plans. Adheres to established regulations related to the Federal Fair Housing Act. Workers’ Compensation Coordination Collaborate with HR and management personnel on workplace injury claims—managing documentation, medical updates, and return-to-work processes. Facilitate communication between injured employees, healthcare providers, and carriers to ensure timely claims resolution. Additional Claims Support Review internal and external risk inspection reports and make recommendations for special projects or capital improvements based on evaluating associated claims exposure. Provide claims-related input during due diligence or portfolio expansions. Undertake other claims administration tasks as assigned. Assist in development and implementation of risk / safety policies and other workplace procedures. Customer Service & Professionalism Promotes a conflict-free workplace environment and collaborates with operations and management teams. Enhances the company training platform aligned with mitigating company’s largest risks. Makes recommendations and implements modifications or improvements to current operations. Displays excellent internal and external customer service by assisting employees and other team members in a courteous and efficient manner. Uses discretion and maintains confidentiality of co-workers, employees, management, owners, past and current residents, and vendors.
KNOWLEDGE, SKILLS, AND ABILITIES
Bachelor’s degree in Risk Management, Insurance, Business Administration, or related field preferred. 3-5 years of experience in property and casualty claims administration required. Bilingual (Spanish/English) preferred. Proficient in Microsoft Suite of products; Apple/Mac experience a plus. Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to manage multiple priorities and deadlines. Professional demeanor with a customer service mindset.
PHYSICAL DEMANDS
Prolonged periods of sitting and working on a computer. Ability to lift up to 15 lbs. occasionally. Primarily office-based work with occasional local travel for claims investigations or carrier meetings.
