Manager of Administration HRC Total Solutions, LLC Manchester, NH 03101

  • Hybrid work The Administration Manager will oversee the Administration employees and the day-to-day affairs of the department, ensuring efficient and accurate processing of enrollments and claims for FSA, HRA, DCA, HSA, and other similar accounts. This role requires a strong understanding of EDI and claims file setup and management to optimize operational workflows. Supervisory Responsibilities
  • Hires and manages training of new staff.
  • Organizes and oversees the schedules and work of assigned staff.
  • Conducts performance evaluations that are timely and constructive.
  • Handles discipline and termination of employees in accordance with company policy.
  • Manages the Administrations caseload to ensure that work is complete and on time.
  • Monitors and maintains department key performance indicators (KPIs).
  • Updates policies and procedures related to scheduling, training, and all tasks for the department.
  • Processes and approves timesheets of assigned staff.
  • Attends Manager’s meetings/Department meetings Duties/Responsibilities
  • Manages a team of 6 assigned Claims Administrators/Enrollment Specialists and ensures they comply with company guidelines, particularly related to quality of service.
  • Conducts team meetings, as needed.
  • Meets with staff as needed to check in, monitor performance, train, etc..
  • Plays an active role in company projects.
  • Assesses workflows for efficiency, with a focus on EDI and claims processing optimization.
  • Ensures that the Administrations departments are informed about changes to company plans, services, policies, and procedures, including those related to FSA, HRA, DCA, and HSA accounts.
  • Manages departmental performance, identifying and facilitating opportunities to increase productivity and efficiency in claims and enrollment processing.
  • Manages daily departmental tasks such as assisting staff with questions or issues, monitoring cases and queues.
  • Manages conflict and resolution of complaints within the department and notify/escalate to HR and Director of Operations when necessary.
  • Communicates with other Managers regarding issues, priorities, questions or concerns.
  • Completes various administrative tasks to ensure effective claims/enrollment processing.
  • Complies with all confidentiality and other Federal regulations, including IRS regulations pertinent to benefit accounts.
  • Ensures all completed work meets the standards of customers.
  • Processes claims/enrollments as needed to support the Department during high volume periods/PTO/Etc..
  • Oversees the setup, testing, and ongoing management of EDI files for client data exchange and claim submissions.
  • Develops and implements strategies for efficient claims file intake, validation, and reconciliation.
  • Ensures data integrity and security for all enrollment and claims information.
  • Collaborates with IT and other departments to troubleshoot and resolve EDI and claims file-related issues.
  • Stays current with industry best practices and regulatory changes affecting EDI, claims processing, and benefit account administration.
  • Performs other related duties as assigned. Required Skills/Abilities
  • Excellent verbal and written communication skills.
  • Extensive knowledge of Administration procedures and principles for TPA operations.
  • Excellent time Management skills with the ability to assign and delegate tasks.
  • Ability to coach and mentor all hourly and salary team members.
  • Proficient computer skills with ability to learn new software.
  • Extensive knowledge of HRC’s plans and IRS/Federal regulations related to FSA, HRA, DCA, HSA, and other accounts.
  • Proven expertise in Electronic Data Interchange (EDI) standards and file formats (e.g., 834, 835, 837).
  • Strong understanding of claims adjudication processes and benefit plan designs for various account types.
  • Ability to analyze complex data and identify trends related to claims and enrollment.
  • Experience with claims management systems and enrollment platforms.
  • Problem-solving skills with a focus on process improvement and automation.
  • Ability to perform light scripting within RPA software
  • Knowledge of macros Education and Experience
  • Bachelor’s degree preferred or equivalent combination of education and experience.
  • Google Workspace experience.
  • CRM experience.
  • Experience with specialized plans and IRS/Federal regulations relevant to benefit administration.
  • Minimum of 3 years of experience in a management role within a Third-Party Administrator (TPA) or benefits administration environment. Physical Requirements

  • The employee may occasionally be required to lift and carry up to 10 pounds.
  • The employee is frequently required to use the computer for prolonged period, operate other office equipment, and be able to talk and hear in order to communicate clearly with others.
