Description:
PRIMARY PURPOSE

The Compliance Specialist plays a key role in supporting a strong culture of accountability, transparency, and regulatory adherence across the organization. This position is responsible for conducting audits, monitoring risk areas, assisting with investigations, and supporting training, policy, and reporting functions. The ideal candidate is highly organized, detail-oriented, and solution-driven, with the ability to think critically, manage multiple priorities, and support initiatives that enhance operational integrity and the patient experience.

Requirements:
ESSENTIAL DUTIES AND RESPONSIBILITIES

Identify, assess, and monitor organizational risks by conducting scheduled and as-needed audits across clinical, operational, HR, finance, and credentialing areas Develop and maintain audit tools used to assess compliance across various departments, such as PDSA cycles, Root Cause Analysis (RCA) templates, and Corrective Action Plans (CAP) Draft and update standard operating procedures (SOPs) to ensure consistency in compliance practices Prepare clear, concise audit reports with actionable recommendations Track audit findings and oversee implementation of corrective action plans Monitor compliance with regulatory requirements including CMS, OSHA, HRSA, FTCA, and others Conduct incident investigations, support root cause analysis, and document outcomes Review and support resolution of patient complaints and formal grievances, including new and open cases; ensure all concerns are investigated, documented, tracked, and addressed in accordance with internal procedures and regulatory requirements Monitor and update internal dashboards related to complaints, compliments, and department reporting metrics Support initiatives that enhance the patient experience by identifying trends in complaints, grievances, and compliments; collaborate with departments to improve service quality and responsiveness Assign and monitor completion of required trainings and policies for staff and new hires Prepare and distribute welcome emails to new staff introducing the compliance platform Upload, maintain, and track internal policies in the compliance management system, ensuring version control and accuracy Support policy management by ensuring all compliance-related documents are accurate, up-to-date, and easily accessible Educate staff on relevant compliance laws, regulatory standards, and audit findings Update HR roster in the compliance system with changes related to new hires, terminations, department or position changes, and external personnel (e.g., volunteers, contractors) Track and support monthly exclusion checks for staff, vendors, and students; respond to ad hoc exclusion search requests Serve as the primary user and point of contact for the organization’s compliance management system; provide technical support and troubleshooting assistance as needed Generate and submit monthly department reports and compliance updates Monitor and manage data in compliance systems for tracking incidents, training completions, and ongoing projects Monitor compliance-related emails and route communications to appropriate stakeholders Assist with major compliance deliverables including the FTCA Application, OSV Site Visit preparations, and internal readiness projects Research and draft compliance-related policies and procedures Maintain up-to-date knowledge of state and federal regulatory changes and communicate updates to stakeholders Collaborate with various departments (HR, Clinical, IT, Operations) to support organization-wide compliance initiatives Participate in special projects and additional duties as assigned

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Strong verbal and written communication skills. Excellent organizational and analytical skills with attention to detail Demonstrated ability to manage multiple tasks with competing deadlines Quick thinker and solution-oriented under pressure Strong interpersonal skills and the ability to maintain confidentiality and discretion Ability to understand, interpret, and apply complex regulations and guidelines Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)

REQUIRED QUALIFICATIONS

Bachelor’s degree preferred; relevant experience in compliance, healthcare operations, or risk management may substitute for field of study Minimum of 2 years of experience in healthcare compliance, auditing, or a related field Working knowledge of CMS, OIG, HRSA, and HIPAA regulatory frameworks
