We are seeking a highly organized, detail-oriented, and proactive Therapist Operations & Compliance Manager to play a pivotal role in supporting our growing team of therapists and ensuring the smooth and compliant operation of our practice. Key Responsibilities:
Therapist Operations & Support:

Be the primary point of contact for therapist workflow questions: scheduling, cancellations, EHR usage, and documentation Conduct regular check-ins with therapists and proactively send reminders to support clinical compliance (e.g. missing documentation, session totals, and canceled appointments) Monitor therapist productivity and session minimums to ensure adherence to session requirements Ensure supervisor and client assignment lists are accurate and up to date Provide support to therapists regarding documentation-related questions and best practices

Onboarding & Offboarding:

Efficiently collect and verify all required onboarding documentation for new therapist hires. Facilitate comprehensive onboarding and orientation sessions covering our systems, documentation policies, and scheduling workflows. Ensure new therapists are well-prepared with all necessary training materials and have access to essential tools and resources Coordinate the offboarding process when necessary, maintaining professionalism, sensitivity, and strict confidentiality

Compliance & Documentation Review:

Review LMHC notes, ensuring they meet regulatory standards Proactively monitor, track, and follow up on missing or incomplete LMHC notes to maintain compliance Monitor documentation timeliness and accuracy (intakes, treatment plans, etc.) Provide guidance on best practices in clinical documentation

Billing Coordination Support:

Escalate payment issues and follow up with therapists when needed Audit service records for accuracy and resolve billing documentation discrepancies

HR & Payroll Administration:

Accurately process biweekly payroll, including bonuses, adjustments, and reimbursements using Gusto Track PTO, sick time, and leaves with precision and transparency Maintain compliance with wage and labor laws at all levels Serve as a knowledgeable and trusted resource for payroll, benefits, and policy questions

What You Bring:
