Atlanta, GA Job Description:

The Activity Notification Form (ANF) process is designed to ensure transparency, accountability, and adherence to Anti-Bribery and Anti-Corruption (ABAC) standards. The Activity Coordinator is responsible for managing this process from end to end, supporting compliance and driving operational excellence.

Overall Role Objective:

The ANF Coordinator manages the full lifecycle of submitting, tracking, and closing Activity Notification Forms. This role involves partnering with business activity owners, compliance teams, and other internal departments to ensure proper documentation, effective collaboration, and consistent compliance with organizational policies.

Roles and Responsibilities:

Assist business activity owners in planning and evaluating activities, confirming business rationale, selecting qualified HCS based on established criteria, and ensuring compliance with internal and external policies. Provide guidance on compensation determinations aligned with Fair Market Value (FMV) guidelines. Submit complete and accurate Quarterly and Child ANFs using the designated internal system, including required documentation for both local and cross-border activities. Coordinate with compliance and ethics teams to secure timely approvals for ANF submissions. Facilitate confirmation of HCS engagements, including discussion of terms, compensation, activity dates, and institutional requirements. Support preparation and review of contractual agreements, ensuring timely review, signature, and storage in accordance with company procedures. Liaise with vendor partners to verify execution of services and collect documentation such as attendance records and deliverables, as specified in the standard operating procedures (SOP). Manage reconciliation of invoices and payment records, ensuring accurate processing of compensation and expense reimbursements. Finalize ANF closure and reconciliation in required systems (e.g., eXcelerate or other platforms) within defined timelines. Document and manage process deviations or exceptions in alignment with established SOPs and compliance requirements.

Qualifications:

Bachelor’s degree in Business Administration, Healthcare Management, Compliance, or a related field. Minimum of 2 years’ experience in compliance, operations, or administrative roles within the pharmaceutical, biotech, or healthcare industries. Solid understanding of compliance and ABAC requirements. Strong organizational skills and attention to detail; capable of managing multiple priorities effectively. Experience using electronic systems for compliance tracking and documentation. Ability to collaborate across functions, including legal, compliance, finance, and commercial departments. Effective communication skills for interacting with internal stakeholders and external healthcare professionals. Proficiency in Microsoft Office (Word, Excel, Outlook), with the ability to adapt to new systems quickly #IND
