9/30/2025 11:59 PM Central Job Summary The Travel Supervisor is responsible for overseeing all travel-related activities and ensuring compliance with the State of Louisiana Travel Guidelines (PPM49) and Grambling State University’s policies. This position leads the daily operations of the Travel Office and provides guidance and support to faculty, staff, and administrators regarding travel policies and procedures. The Travel Supervisor manages the University’s Corporate Travel Card Program, supervises travel staff, and supports financial accountability through accurate processing, auditing, and reporting of travel-related expenses. Job Duties & Responsibilities Essential Duties and Responsibilities (100% time allocation):
Supervise and coordinate daily operations of the Travel Office, ensuring compliance with PPM49 and internal policies.
Review travel expense reports for accuracy and compliance prior to processing reimbursements.
Audit monthly travel card logs for completeness, proper documentation, and original signatures.
Track and ensure the use of airline ticket credits before expiration.
Manage the annual Football Season Hotel and Meal Overage Report.
Advise supervisors, department heads, and executive leadership on travel policy compliance.
Troubleshoot travel issues such as delays, policy violations, and system errors.
Monitor timely submission and processing of Travel Authorizations (TAs).
Maintain and update the Travel Office webpage with current forms and notices.
Disseminate state and university travel policy updates to stakeholders.
Organize and participate in annual training for the University’s Travel Card Program.
Draft, revise, and maintain the official University Travel Policy.
Supervise two direct reports, including performance planning and LEO training compliance.
Reconcile and ensure timely payment of Bank of America statements and proper fund clearance.
Oversee liquidation of encumbrances in Banner, ensuring accurate closure during fiscal year-end.
Serve as the University’s Records Retention Manager for travel-related documentation.
Generate system usage and compliance reports; resolve system access issues.
Serve as Program Administrator for the

University Travel Credit Card Program:

Order, issue, activate, and deactivate cards.
Prepare and submit monthly card status reports.
Perform additional duties as assigned by the Primary Program Administrator

Qualifications Minimum Requirements:

Bachelor’s degree in Accounting, Computer Information Systems, Management, or a business-related field-or equivalent experience.
Minimum of three (3) years of relevant business or administrative experience.
Strong analytical, organizational, and problem-solving skills.
High attention to detail and ability to manage multiple priorities in a fast-paced environment.
Proficiency in Microsoft Excel and Word.
Excellent written and verbal communication skills.
Exceptional interpersonal and customer service skills.

Preferred Qualifications:

Supervisory experience in an administrative or financial operations setting.
Familiarity with Louisiana’s PPM49 travel policies and public-sector fiscal regulations.
