POSITION SUMMARY
Perform a wide variety of analytical support and accountability for new loans to commercial (CL) and installment (IL) Loan Officers and Loan Assistants. Ensure that loan files contain the proper documents and relevant data. Provide an array of support for loans. Exercise independent judgment under moderate supervision. Conduct relationships and activities consistent with established bank policies, procedures and systems, the corporate code of conduct, Bank Secrecy Act and all applicable State and Federal laws and regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Contact customers to obtain updated addresses on returned mail. Process, image, and QC Letters of Guarantee, as needed. Complete, review, submit and/or distribute required reports, being sure to meet deadline requirements. Answer overflow calls that come into the Loan Operations department extension or when staffing needs arise. Provide support and service to the Loan Administration POD, Loan Customer Service POD and Loan Booking POD as well as internal customers on all aspects of commercial (CL), installment (IL), mortgage (ML) and overdraft banking (ODB) loans. Disburse CL escrow. Track CL escrow analysis and request changes as necessary. Provide backup for the Loan Operations Specialists as assigned. Assist customers and lending staff as well as other associates with questions regarding CL escrow, or other areas of expertise provided by this desk. The duties listed above are the basic duties for the Loan Operations Representative. Loan Operations personnel are required to learn and successfully perform the duties of all areas as designated by management. Respond to internal and external inquiries regarding the status of new loans, including, loan officers, loan assistants, and other bank personnel, when questions arise regarding loan documents, regulations, and approvals. Follow and assist with establishing, implementing and maintaining methods and procedures to assure all loan actions are processed correctly and timely. Maintain a comprehensive procedures manual on all job responsibilities. Consistently demonstrate proficiency in providing exemplary customer service in person and by telephone. Maintain a friendly, positive, and professional attitude. Resolve difficult situations with tact and diplomacy. Advise Loan Operations Management when there are problems with established procedures, policies, improper calculations on loans, or issues with meeting deadlines. Handle routine administrative details for the department including service calls on equipment, and updates to software. Maintain neat and orderly work area and ensure that all confidential records are secured and/or disposed of properly. Complete or attend all required training.
ADDITIONAL DUTIES AND RESPONSIBILITIES
Assist others in the department as needed and/or directed. May be assigned other duties and responsibilities. May be assigned work or training at other assigned locations.
Requirements:
High school education or equivalent. At least two years of experience in general office work or completion of an associate degree in Administrative Office Systems or a related area is desired. Previous experience as a Loan Processor or in banking is preferable. Attention to detail required. Knowledge of modern office practices and procedures; accurate grammar, spelling, punctuation and standard English usage; business correspondence formats, recordkeeping and filing methods; basic math calculations. Must possess good judgment and organizational skills, the ability to prioritize, and handle confidential information. Ability to deal effectively and courteously with a large number of associates and members of the general public. Ability to read, write, and speak English. Effective oral and written communication skills Ability to interpret and follow a variety of instructions furnished in written, oral, diagram, or schedule form and complete assignments without detailed directions. Ability to independently plan, prioritize, organize and complete work efficiently and accurately. Willingness to assume additional responsibilities/duties/projects as they arise. Ability to maintain regular and punctual attendance. Ability to operate a variety of office administration equipment such as PC, telephones/voicemail, copy machine, fax machine, calculator/adding machine, printer/MFD, etc. Utilize computer software applications such as Internet, Word, Excel, Outlook, and Intranet.
