Core Focus:
The CHB Coordinator will be coordinating the air and ocean freight cargo transportation of goods on behalf of assigned customer accounts or routes for, generating all required documentation and reports, and tracking of shipments ensuring timetables as per our customers’ requirements. This role will be responsible to communicate with freight forwarders/sellers/vendors for shipment and document preparation, monitor shipment clearance status and escalates issues when necessary. This role also performs data entry functions for entry filing, classifications, and inspections related delivery-form generation, tracking and compliance requirements with excellent customer service and communications skills.
Role and Responsibilities:
Coordinate air and ocean import shipments to ensure the delivery as clients request Interact with customers responding to inquiries in a timely manner and providing timely shipment status updates All CHB functions and communications with U.S. Customs. Ensure timely document compliance with US Customs Effectively communicate with our customers Process FCL, LCL, Ro/Ro shipments Tracking/Tracing Freight Rating Invoicing Freight releases Prepare accurate import documents and tracking shipments Arrange shipping documentation, timely and accurate clearances, shipping mode, delivery, tracking and notification with customs, air carriers, ocean carriers and domestic carriers Ensure customer SOP’s, U.S. government agency regulations, Corporate standards are adhered to Assure that complete and accurate files for documentation, billing, and compliance purposes are maintained, as well as for customer visibility Confirm shipping details against documents such as pieces, weight, volume, origin, POD, and destination Daily follow- up on discrepancy issues which requires the ability to troubleshoot and communicate with logistics providers verbally and in writing to resolve any potential issues/delays Analyze and validate import documentation and data to ensure they are in accordance with all applicable laws and regulations prior to entry submission to U.S Customs and Partner Government Agencies (PGA) Enter required shipment data and customs data into the brokerage software. Escalate any unresolved issues or risk to US Customs or other PGA’s, clients, coworkers, and supervisors in a clear, and concise manner. Review and monitor all Customs rejections. Prioritize work based on estimated time of arrival, (ETA) and product service level, last free day, and transportation mode. Ensure exceptional customer service, under the limited supervision and advice of the department supervisor or manager, by proactively informing clients of shipment status. Classify entries as per the client SOP, Parts Database, and or/direction from Licensed Customs Broker/Classification Specialist Adhere to all company policies, procedures, and guidelines, assigned work schedules and attendance requirements. Perform other duties as assigned.
Required Experience:
Minimum of two to five years of handling logistics/ brokerage/ customs clearance Licensed Customs Broker preferred, but not required High School Diploma or GED required. Minimum of 3-5 years experience in Entry Writing. Experience required in International Logistics, Cross-Border Transportation and Supply Chain. Sound Knowledge of US Customs rules and regulations, ability to read and understand the regulatory language and troubleshoot basic Customs entry issues (ABI,ACE related, AMS). Computer Knowledge is a must (Cargowise will be a plus)
Preferred Skills:
Proficient in Cargowise is a plus Experience with Wine and Medical Device Imports is preferred Sound judgment, with a well-developed sense for risk identification, assessment and management. Demonstrated experience in conducting reviews of compliance certifications, agreements, and regulatory procedural documents to determine gaps and opportunities for improvement.
