Job Description:
Provide an excellent customer service experience and facilitate student success by serving as a primary point of contact for prospective and current students across Student Accounts, Admissions, and Financial Aid departments. Provide guidance and options to assist in the successful resolution of financial obligations, admissions inquiries, and financial aid questions while explaining college policies and procedures and referring to appropriate offices or services on campus. Present a positive and supportive image of AIC while ensuring seamless support across all three departments. Responsible for front desk operations, managing office email accounts, and handling main office phone lines for multiple departments. Serve as the initial point of contact for students navigating the enrollment process from admissions through financial aid and student accounts.
Student Accounts Support:
Responsible for daily cashiering entries and end of day reconciliation and reporting. Handle various non-student and deposit payment processes, miscellaneous entries, collection payments, file maintenance and notifications. Review daily transcript requests from the Office of the Registrar and complete follow-up communications with students who have outstanding balances.
Admissions Support:
Assist prospective students with application inquiries, provide information about enrollment deadlines and requirements, help coordinate campus visits and information sessions, and support the admissions team with administrative tasks including file management and communication tracking.
Financial Aid Support:
Assist students with FAFSA completion, FSA ID creation, and other financial aid related tasks. Support the maintenance, processing, scanning, invoicing and reconciliation of outside scholarships in conjunction with the Office of Financial Aid. Help students understand award letters and financial aid processes. Perform miscellaneous office tasks such as mail collection and distribution, assist with student mailings across all three departments, track and order office supplies, address update requests for returned mail and other functions as needed. Assist in organizing and entry of financial forms and provide assistance upon request for cross-departmental projects. Assist with processes to update accounts with holds, alerts and notes. Support student communication and tracking processes across admissions, financial aid, and student accounts systems. Know, comply and be able to effectively communicate all institutional, state and federal policies, guidelines and regulations relating to student admissions, financial aid, and student accounts, including but not limited to the following: FERPA, Title IV regulations, and admissions compliance requirements. Responsible for maintaining the integrity of student information systems in compliance with all federal, state, and institutional policies. Serve as a liaison between Student Accounts, Admissions, Financial Aid, Office of the Registrar, Residence Life, Advising, and other offices of the college as needed. Maintain positive working relationships across all departments and foster an atmosphere of goodwill and teamwork that supports the integrated student experience. Assist with the development and maintenance of documentation for areas of responsibility across all three departments and help identify opportunities for process improvement and integration. Assist with orientation, check-in, admissions events, and other college activities that may require some weekend and/or holiday hours. Complete projects as assigned by the Bursar, Director of Admissions, or Director of Financial Aid.
Requirements:
Bilingual (English/Spanish): Written and verbal, preferred
Financial Management Skills:
Cash, check and credit card handling, computer skills and proficient math calculation skills. Superior organizational skills and attention to detail.
Customer Service Skills:
Strong interpersonal skills with ability to work with diverse populations including prospective students, current students, families, and colleagues across multiple departments.
Computer Skills:
Advanced experience with Microsoft Office software including Word and Excel. Experience with student information systems preferred. Ability to acquire new and enhanced skills as new technology is introduced and general keyboarding skills.
Reasoning Ability:
Positive problem-solving ability and superior critical thinking skills with ability to navigate complex multi-departmental processes.
Language Skills:
Ability to read, analyze and interpret general business policies, technical procedures, and government regulations across admissions, financial aid, and student accounts. Ability to write procedure manuals and communicate effectively across departments. Ability to interpret instructions furnished in written or oral form. Ability to effectively communicate difficult and sensitive information in a professional manner. Ability to work independently with minimal supervision to prioritize, implement, and manage multiple projects and due dates across three departments. Experience working in higher education with knowledge and understanding of student enrollment processes, federal cash management regulations, FERPA regulations, and confidentiality requirements. Experience with admissions and/or financial aid processes preferred. High School Diploma/equivalent (minimum). Advanced degree or some college credit courses preferred. Occasional nights/weekend shifts required for admissions events and other college activities.
