Description
In accordance with the organizational chart and overall plan of Vance-Granville Community College, the Financial Aid Specialist reports to the Director of Financial Aid in the implementation of financial aid procedures and policies while providing support for the Financial Aid Office operations.

Teleworking:

This position is assigned to the VGCC Main Campus, although some travel to other counties in the college’s service area is possible. Consistent with VGCC’s Teleworking Policy, this position is eligible for up to 1 day per week of telework upon your supervisor’s approval and it has been demonstrated that the employee has a strong understanding and ability to the correctly complete the duties assigned to this position.

Essential Duties
Communicate effectively in verbal and written form with students, families, college faculty and staff, prospective applicants, and financial aid community.
Assist and counsel students, both enrolled and prospective, with all phases of the financial aid application process.
Interpret and explain institutional, federal and state regulations, policies, procedures, and guidelines pertaining to financial aid.
Perform verification, as necessary, and confirm admission status on financial aid applicants.
Collect and analyze student financial data to determine aid eligibility and process financial aid awards within federal, state and institutional guidelines.
Follows procedures to ensure confidentiality of student records.
Assist in the preparation of and present information regarding financial aid, scholarships, and student employment to various campus groups, high school students, parents/guardians, orientation sessions, group discussions, workshops, and recruitment sessions.
Assist in monitoring students standards of academic progress (SAP) and participate in the end of the term SAP processes.
Analyze various reports such as standards of academic progress, grades, enrollment or award status to verify compliance and eligibility of students receiving aid under federal, state and institutional guidelines; notify students of any change in award eligibility.
Prepare financial aid reports related to assigned area of responsibility.
Maintain primary responsibility for management of a specific program, which may include one or more of the following: Federal Work Study program, Childcare Grant program, Veterans Administration, Return to Title IV calculations, Alternative loans, Transfer Monitoring, and Financial Aid general email account. Maintain cooperative working relationships with internal and external partners including the Business Office, Registrar’s Office, Admissions & Records Office, and Bookstore to obtain necessary documents, resolve problems, facilitate solutions, enhance customer service, and ensure quality services for financial aid & scholarship recipients. Participate in the disbursement and reconciliation processes of federal and state aid programs. Update and design financial aid forms and applications in collaboration with the Director and Associate Director of Financial Aid. Complete correspondence through letters and email notifications with students regarding aid adjustments, award notifications, ineligibility, grant lifetime eligibility, withdrawals, return to Title IV calculations, courses never attended, and SAP status. Maintain accurate records and participate in federal and state audits by appropriate internal and external agencies.
Manage and counsel students on loan issues including alternative loans, delinquent and defaulted loans. Maintain loan records and participate in training.
Assist with the scholarship application process to include institutional and outside scholarships.
Attend workshops and training to keep abreast of changing regulations, procedures, and technology as it applies to the function of the Financial Aid Office.
Perform other duties as assigned by the Director of Financial Aid, Associate Director of Financial Aid, and/or Vice President of Learning, Student Engagement & Success.
Qualifications
For all staff positions, salary determinations are based on the minimum educational qualifications required and the number of years of relevant experience associated with the position. The entry-level salary at VGCC corresponds to individuals with minimum years of experience for this role. Conversely, to qualify for the upper end of VGCC’s salary range, an individual must have over 25 years of experience relevant to the position.

Required:

Bachelor’s Degree in business, education, or other related field with two to three years of experience in higher education financial aid or related field; OR Associate Degree in business, education, or other related field with three to five years of experience in higher education financial aid or related field.
Strong analytical and communication skills.

Preferred:

Bachelor’s degree in business, education or other related field.
Experience working with federal, state and/or institutional financial aid programs.
Experience working in a North Carolina Community College.
Experience working with Colleague, student information systems software, by Ellucian
Physical Demands
Normal office environment including sitting and/or standing for prolonged periods of time. Duties may require intermittent light physical effort in carrying, lifting, or moving lightweight materials or equipment (up to 25 pounds).
