Advancement and Finance Coordinator 4.5 4.5 out of 5 stars 1 Museum Way, Corning, NY 14830 POSITION SUMMARY The Advancement and Finance Coordinator is a full-time, onsite position, reporting to the Chief Advancement Officer. Provide administrative services, project coordination, and grant management support to the Advancement (ADV) and Finance (FIN) departments of the Corning Museum of Glass (Museum). Primarily responsible for supporting the Chief Advancement Officer (CAO), the Chief Financial Officer (CFO), and respective departments. Provides support and performs membership processing, member relations, stewardship, and Advancement event support. Assist the CAO and the CFO directorates with administrative support as requested. Support the Advancement, Audit, Finance and Investment Committees with communications, gathering materials, and scheduling committee meetings. Work closely with other administrative colleagues to support the Leadership Team and their interactions with Trustees, major donors, and other key constituents.
RESPONSIBILITIES

- Provide administrative functional support for expense reports, purchase orders, receiving invoices, meeting logistics, and correspondence.
- Coordinate calendars and manage schedules.
- Manage all travel logistics, expenses, itineraries, and agendas for the CAO, CFO and other ADV staff as needed.
- Provide general logistics support including sorting mail, monitoring and ordering general office supplies, receiving deliveries, and coordinating service calls for printers.
- Anticipate and proactively address any issues when possible.
- Assist with other administrative tasks and project coordination as requested.
- Prepare graphs, reports and spreadsheets related to programs and projects.
- Assist in the design and production of professional and dynamic PowerPoint presentations for the Museum’s Board of Trustees, Board Committees and other important meetings and events.
- Advancement Support
- Manage logistics, agendas and objectives for VIP and key donor visits. Coordinate events, activities and facility visits.
- Communicate with current or potential donors via telephone, e-mail or other means.
- Provide support as needed for ADV events including tracking RSVPs and onsite staffing needs.
- Support and participate in processing memberships, recording data in Raiser’s Edge, gifts and commitments including tracking in Raiser’s Edge and generating acknowledgement letters
- Provide support with MS Teams Site and SharePoint Site coordination, training, and implementation of organization wide updates for sharing, collaboration, and project management tools.
- Support project management schedules and deliverables with consultants and external vendors. Institutional Giving Support
- Gather and organize necessary documents and other content to support grant reporting and requests.
- Assist with maintaining accurate grant request schedules, proposal timelines, and internal tracking resources, ensuring all relevant grant information is accurate and accessible.
- Assist with tracking and maintaining accurate records of grant proposals, awards, contracts, and correspondence with funders.
- Coordinate with internal stakeholders to gather content, budgets, and data on results and outcomes for grant reporting, and grant proposals.
- Assist with maintaining Institutional Giving (IG) contacts and relationships in Raiser’s Edge and entering actions and/or proposal (opportunity) updates in IG records.
- General
- Actively and intentionally support the Museum’s commitment to diversity, equity, accessibility, and inclusion.
- Actively support the Museum’s Advancement initiatives.
- Provide back-up support for the Executive Assistant and Board Liaison related to the Board of Trustees and Board Committees.
- Make and coordinate all Corning Aviation reservations for designated areas.
- Actively participate in team meetings as needed; serve on Museum project teams as appropriate.
EDUCATION AND EXPERIENCE
- Bachelor’s degree preferred. Associates degree in business-related areas or equivalent work experience required.
- Minimum five (5) years’ experience at a comparable level; previous experience in a museum or university’s advancement office with constituents desired.
- Database experience (such as Raiser’s Edge or other CRM) desired.
- Proficiency in creating and working with charts, text, photography, and multi-media elements to create PowerPoint presentations and Word proposals.
- Experience with Microsoft Office and Cloud services including Office 365 and OneDrive, Adobe Sign, SharePoint and MS Teams; ability to learn new job-related software programs.

- Highly accurate, detail-oriented and organized; focused on follow-up.
- Some weekends and/or evenings are required, flexibility in hours necessary.
