Position Description Advertised Job Summary Performs accounting and administrative duties to ensure accuracy of all department fiscal and time keeping data within the Facilities Computerized Maintenance Management Systems and the University’s ERP system (PeopleSoft.) Job Related Minimum Required Education and Experience Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Prior experience with PeopleSoft and/or other Enterprise Resources Planning (ERP) Systems as well as experience with facilities CMMS systems. Knowledge/Skills/Abilities Knowledge of accounting/bookkeeping principles and practices. Ability to interpret and apply financial procedures and regulations. Ability to perform analysis of financial records. Strong EXCEL skills. Job Duties Job Duty Oversees the review and processing of system generated journal entries for CMMS systems. Reconciles the journal entries to ensure accuracy and coordinates with facilities and campus stakeholders to ensure timely correction of any outstanding errors. Ensures appropriate costs have been posted in both systems to allow for timely billing of campus partners. Bills campus business partners and maintains receivables for those transactions. Essential Function Yes Percentage of Time 25 Job Duty Assists with the recording and reconciliation of expenses posted in university ERP as book of record to CMMS. Makes corrections in CMMS to record any missing transactions and/or prepares any necessary corrections or journal entries to make corrections in ERP to complete reconciliation process. Essential Function Yes Percentage of Time 15 Job Duty Creates and maintains documented procedures for all job duties assigned to the position Essential Function Yes Percentage of Time 5 Job Duty Reviews time reporting in university ERP to ensure that facilities employees are reporting their time accurately and by the appropriate deadlines. Reconciles time reporting between CMMS and ERP. Essential Function Yes Percentage of Time 25 Job Duty Assists Accounting Manager with special projects as needed. Also, cross-trains and performs other duties as required to support the Administration and Finance related departments (including but not limited to capital project reconciliation, utility reconciliation, and payables submission and tracking). Essential Function Yes Percentage of Time 20 Job Duty Prepares and maintains a p-card expense reconciliation between CMMS and ERP reviewing for timely posting and accurate cost accounting in both systems.
