Full-Time Support Staff Overview Grace Baptist Church (GBC) and Grace Christian Academy (GCA) are seeking a dedicated and detail-oriented Accounting Analyst to support the financial operations of both the church and the school. This position is critical for maintaining accurate accounting, reporting, and compliance. The ideal candidate will have experience in accounts receivable, accounts payable, payroll, billing, church contributions, and general ledger functions—preferably in a church or school environment. Grace Christian Academy, as a ministry of the church, exists to LEAD students to a saving knowledge of Jesus Christ, to BUILD them to their full potential in Him, and to EQUIP them to serve Him. This position plays a key role in supporting that shared mission through excellence in financial stewardship and operational integrity. Key Responsibilities Accounts Receivable (GCA) Support the Director of Student Accounts with student billing and management of tuition payment plans using the FACTS system, including: o Ensuring timely collection, recording, and reconciliation of tuition and international student payments. o Servicing payment plans as needed to assist families. Manage and accurately record cash receipts. Assist the Athletic Department with event-related cash handling and deposits. Church Contributions Assist the GBC Controller in recording and reconciling tithes and donations from all campuses and ministries. Process contribution records and generate donor tax receipts. Provide pastors and ministry leaders with contribution reporting as needed. Ensure all donations are documented according to compliance and stewardship standards. Credit Card Reconciliation Reconcile credit card transactions for both GBC and GCA. Maintain accurate records and receipts and resolve discrepancies promptly. General Ledger Accounting Assist the CFO in maintaining accurate general ledger records using Shelby Financials . Support monthly and annual closing procedures. Help prepare financial reports and assist with budget monitoring. Payroll Support Assist with payroll processing through APS Payroll for all GBC and GCA staff. Help collect time sheets and calculate hours, benefits, and deductions properly. Maintain accurate payroll records and support tax filings. Reporting & Miscellaneous Support Respond to reporting requests from church and school leadership. Provide administrative and financial project support to the CFO. Enter ledger transfers and assist with departmental monthly entries as needed. Essential Duties and Responsibilities Maintain efficient office operations and meet all deadlines. Organize and securely store physical and digital financial records. Assist with returned and voided checks. Maintain strict confidentiality regarding financial, compensation, and donor information. Participate in staff meetings, training sessions, and ministry events as requested. Perform other financial or administrative duties as assigned. Qualifications A bachelor’s degree in accounting, finance, or a related field is preferred; equivalent experience is considered. 3-5 years of accounting or bookkeeping experience (non-profit or educational setting preferred). Strong knowledge of accounting principles. Proficient in Microsoft Office (especially Excel); experience with Shelby Financials is a plus. Familiarity with APS Payroll and FACTS billing system is advantageous. Excellent organizational skills and attention to detail. Strong verbal and written communication skills. Ability to prioritize, meet deadlines, and work both independently and collaboratively. High level of integrity and confidentiality. Preferred Qualifications Experience with accounts receivable, credit card reconciliation, and general ledger processes. Familiarity with fund accounting and non-profit financial regulations. Knowledge of student billing or church contribution systems. Skills and Spiritual Requirements Demonstrated ability to manage confidential and sensitive information.
