Office Manager – Financial Services Background Required Job Summary We are seeking a proactive and experienced Office Manager with a background in financial services or advisory operations to oversee our firm’s daily workflow. This key role is responsible for managing team productivity, ensuring client onboarding processes are executed quickly and accurately, and maintaining operational efficiency across the office. The ideal candidate will have past experience as a financial advisor or in managing a financial firm, with strong leadership, organizational, and communication skills. Key Responsibilities Oversee day-to-day office operations to ensure the team is aligned, accountable, and productive. Coordinate and monitor all aspects of the client onboarding process , ensuring timely and thorough follow-through. Serve as a liaison between advisory staff, administrative team members, and firm leadership to maintain efficient communication and task delegation. Implement and manage task tracking systems and internal workflows to keep team members on schedule. Ensure compliance and documentation are completed promptly during onboarding and client servicing. Manage front desk operations and support client-facing professionalism. Assist with human resources functions, including new employee onboarding, scheduling, and records management. Oversee meeting coordination, calendar management, and internal planning activities. Maintain supplies and operational tools to ensure an uninterrupted office environment. Support internal reporting and operational metrics to help leadership assess team effectiveness. Qualifications & Experience Proven experience as an Office Manager, Operations Manager , or Financial Advisor within a financial planning, wealth management, or similar professional firm. Strong understanding of financial services workflows , compliance, and client experience standards. Demonstrated ability to keep teams organized and tasks on track using workflow or CRM tools. Excellent communication skills for both client and internal team engagement. Detail-oriented with the ability to manage multiple priorities efficiently. Proficiency with Microsoft Office Suite and other office management tools. Familiarity with client onboarding tools, CRM platforms, or financial planning software is a plus. Knowledge of payroll processing and HR best practices is beneficial. Why Join Us?
