You are passionate about maintaining standards of excellence for finance and administration. This includes but is not limited to organizing and overseeing the day-to-day fiscal operations, monthly invoicing, maintaining all books and records in QuickBooks, coordinating payroll through ADP Workforce Now, reconciling all accounts, closing the books monthly, liaise with our information technology company, and other support functions of the ministry. You serve intentionally with the love of Christ. As the Manager of Finance and Administration, you will have responsibilities in dealing with clients and their family members, community representatives, agency staff, volunteers, board members, funding sources and other relationships with a sensitivity and responsiveness to cultural differences. HOPE is a faith-based ministry with a focus on families who are experiencing homelessness. You will:
Provide accounting and financial control work for HOPE South Florida.
Be proficient with QuickBooks for data entry and reporting adhering to financial standards.
Oversee monthly invoicing for all our grants and government contracts.
Ensure all policies and procedures are in place. (State and federal laws and regulations).Develop and track annual, monthly, and departmental budgets.
Ensures compliance with accounting procedures through observation, supervision, and testing.
Performs other related duties as requested.
BudgetingAnnual preparation of zero-based agency budget through collaboration with supervisors and appropriate staff.
Budget analysis and reporting to Management team, the President, Vice President of Operations, Director of Development, and board as requested.
Accountability for timely analysis and reporting of revenue and expense budget variances.
Manages overall agency spending and those authorized to spend.
Financial OversightManagement of monthly and yearly accounting cycle.
Supervision and guidance of accounting staff as we grow.
Accountability for monthly closings and timely reportingManage cash flow and investments.
Oversee and organize the vendor contracts and other agreements.
Monitor billing and collections.
Maintain accounting of fixed assets.
Track any donor-restricted gifts and activities which release assets from restriction.
Keep the President, Vice President of Operations, Director of Development, and board and the Board Chair and Board Treasurer and Secretary apprised at all times of any changes in agency’s financial condition.
Risk ManagementMonitor staff compliance with financial policies, procedures, internal controls, and reporting.
As needed, introduce new controls, policies, and procedures to mitigate riskLead and provide support of external financial audit.
Audit systems and procedures for opportunities to improve efficiency and reduce risk.
Comply with accounting and other regulatory guidelines.
Ensure that organization insurance policies are accurate and have sufficient policy limits.
Work with our insurance broker to understand policies, maintain records, and keep up to date.
Payments / Receivables / Contracts / Compliance / Invoicing / Reporting / Payroll / CommunicationsAccounts ReceivableComplete reporting requirements for various programs.
Submit invoices with appropriate documentation.
Follow-up with past due accounts.
Properly account and reconcile incoming.
Follow-up with commitments from donors.
Accounts PayableReview invoices for accuracy.
Properly account and reconcile payments.
Submit payments (checks, ACH, credit card payments) as required.
Negotiate for most favorable terms.
Contracts / ComplianceReview and negotiate contract terms.
Request renewals on maturing contracts with help from the Vice President of Operations.
Ensure compliance with terms of contracts.
Follow-up for timely payments / receipts for all contracts.
Ensure funding is appropriate for contract terms.
Financials / ReportingMaintain and manage AR aging report.
Maintain financials (Balance Sheet / Income Statement) on weekly basis, via Quick Books.
Develop weekly, monthly, and annual budget forecast.
Work with auditors on annual basis.
Maintain reports for each specific program and service managed by HOPE South Florida.
Communications:
Ongoing updates with President and Vice President of Operations on financial health of HOPE South Florida.
Bi-weekly updates to the Board Treasurer.
Monthly updated reports to Boad of Directors (BS / IS / AR Aging / AP Aging / Commentary – Actual vs budget)PayrollManage bi-monthly payroll, garnishments, etc. Work with ADP and Workforce Now to support all HOPE’s HR needs.
Have a working knowledge of the new ADP workforce now technology (This can be learned while at HOPE).BenefitsReview and negotiate insurance benefits annually while working with our agent.

Manage HSF accountsChecking / OperatingRestricted fundsCredit CardsFundraisingCollaborate with executive team on grant and government proposals.
During application phase, prepare proposal budgets and participate in site visits, if needed.
Be able to talk with prospective donors about the mission of HOPE and how funds are managed to further the cause of addressing homelessness.
Have a working knowledge on the Donor-Perfect application.
Board AccountabilityPrepare monthly financial reports for board members (to be included in board packet distributed in advance of monthly meeting.
Give oral presentation of financial condition, significant activity, and budget analysis at monthly board meetings.
Participate in board sub-committees which require financial, human resource, long-range planning, and budget matters.
Be a resource to board members as needed.

At least a bachelor’s degree in accounting and/or Finance or related field from an accredited college or university.
A minimum of five 1-3 years post-college work experiences in the areas of finance, accounting, or human resources.
Ability to work cooperatively with multiple levels of staff, board of directors, volunteers, and funders.
Proven ability to critically analyze complex issues and recommend solutions.
