This position manages and coordinates the general office activities, including office administration and staff, is responsible for the accuracy and efficiency of all sales records and documents, and assists staff and customers with problems and questions relating to sales and services. What are the day-to-day Responsibilities? Managing daily administrative operations of the department including scheduling workforce, administering attendance policies, resolving problems. Maximizing office productivity through proficient use of appropriate software applications, and research and develop resources that create a timely and efficient workflow. Planning office layout, developing office budget, scheduling expenditures, analyzing variances and initiate cost reduction. Preparing activity and sales reports for management upon request. Formulating procedures for systematic retention, protection, retrieval, transfer, and disposal of records. Supervising the servicing of office equipment and the ordering of office supplies. Maintaining and monitoring systems to process customer transactions according to established guidelines. Coordinating activities of various clerical departments and employees and interact with other departments as necessary to ensure high quality of service to customers. Ensuring that all customer payments are processed on day of receipt for timely deposit. Working closely with AP/AR and the SSC regarding customer payments. Supervising dealer registration office to ensure quality service to customers. Coordinating simple IT issues with Auction edge software vendor. What are the requirements for this job? High School diploma or equivalent required. Associate’s degree in Accounting or related field preferred. 3 years auction industry and 1 – 3 years office management or supervisory experience required. Knowledge of basic accounting procedures and equipment required Effective communication, customer service, and organizational skills required. Good computer and software knowledge essential including Microsoft Office, including Microsoft Word, Excel, and Outlook. Experience 1 – 3 years of accounting or bookkeeping experience preferred. Experience with Auction Edge/ASI auction systems is preferred.
