Job Description

Position Overview:

•The Office and Accounting Manager will play a critical role in the administrative and financial operations of the company. This individual will be responsible for managing accounts receivable and payable, supporting bookkeeping activities, coordinating office supply needs, handling communications related to dispatch and marketing, and maintaining a professional office environment. This is a hands-on role ideal for someone who thrives in a fast-paced, multitasking environment.

Key Responsibilities:

•Accounting and Financial Administration•Invoice customers and apply incoming payments (ACH and mailed checks) to the appropriate accounts.

Track and follow up on past due invoices; send reminders and communicate with customers regarding overdue payments.

Prepare and calculate bank deposits for check payments.

Write and issue checks for vendor payments and business expenses on a weekly basis.

Collect and organize receipts for company card purchases and prepare detailed monthly expense reports.

Compile and deliver monthly financial reports and statements to the external bookkeeper.

Office and Administrative ManagementMaintain inventory of office supplies and place orders as needed to ensure smooth daily operations.

Answer phones and respond to email inquiries related to dispatch quotes and general customer service.

Maintain organized digital and physical filing systems for financial and operational documents.

Support cross-departmental needs and assist management with general office functions.•Marketing and Communications•Create and send out bi-weekly email marketing campaigns using tools such as Mailchimp or similar platforms.

Manage the companys social media accounts, ensuring regular, engaging content that supports the brand.

Coordinate with internal teams or third-party vendors for promotional materials or campaign strategies as needed•

Qualifications:

•Proven experience in office administration and accounting/bookkeepingStrong organizational and multitasking skills with keen attention to detail.

Proficiency in Word, Excel, and standard office software.

Familiarity with email marketing platforms and social media management tools.

Excellent communication skills, both written and verbal.

Ability to work independently and collaboratively in a small team environment.

Experience in a logistics, transportation, or service-based industry is a plus.
