As a provider of residential services to children who have experienced situations of abuse, neglect, or homelessness, we must take the utmost care when reviewing candidates. Position Summary and Purpose:
The FinanceAdministrations Manager is responsible for overseeing and managing all financial aspects of the Children’s Attention Home. This role ensures accurate representation of all financial transactions, compliance with financial policies, and effective budgeting and reporting. The FinanceAdministrations Manager will report directly to the Executive Director and work closely with organizational leadership, board members, auditors, and funding agencies to maintain fiscal integrity and drive financial sustainability.
Essential Responsibilities:
Financial ManagementAccounting Manage accounts payable/receivable, deposits, payroll, tax reporting, and financial reconciliations. Maintain and oversee the general ledger and accounting system, ensuring accurate coding of payroll and other expenses. Conduct monthly financial analysis and reporting for Executive Director, Director Team, Finance Committee, and Board of Directors. Lead the annual budget development process, monitor expenditures, and update financial projections. Implement financial controls, policies, and procedures to ensure compliance and safeguard organizational resources. Manage restricted and unrestricted funds and ensure compliance with grant awards, restricted donations, and applicable financial standards. Oversee financial aspects of employee retirement contributions and payroll allocations. Oversee the reconciliation of bank accounts and manage financial reporting for audits and annual reports. Grant, DonorContract Management Oversee donor receivables, coordinating financial tracking with the development team. Manage and track deferred revenue (TRNA) and maintain records of release from restriction. Track grant allocations and assign expenses appropriately per grant requirements. Prepare timely and accurate grant and contract billing for federal, state, and private funding sources. Prepares reports as needed or requested. PurchasingFixed Assets Review and monitor vendor and consultant contracts. Maintains vendor and consultant files. Prepare year-end tax forms (1099). Manage organization-issued purchasing cards, including issuance, usage, reporting, and reconciliation. Maintain and oversee the organization’s fixed asset list in coordination with the Operations Manager. Finance CommitteeAudit Oversight Schedule meetings, develop agendas, and maintain records for the Finance Committee. Coordinate audit services and manage relationships with external auditors. Serve as the staff liaison to the Board Treasurer and Finance Committee. Compliance Oversee organizational insurance policies and ensure organization maintains adequate coverage in alignment with contract, grant, and other requirements. Maintain accurate financial records to ensure compliance with reporting requirements. Develop and oversee financial systems to support operational efficiency and transparency. Develop and oversee applicable document retention policies and manage the disposal of records. Ensure compliance with state and federal registration and reporting obligations, including state charity registrations. Human Resources Oversee payroll and benefits administration. Manage COBRA participation. Manage the preparation and distribution of year-end forms (ACA, W2, etc.) in collaboration with the HCM system representative. Assist with onboarding, offboarding, and similar tasks associated with the HCM system. Other Duties Train and supervise the bookkeeper, interns, and volunteers assisting with financial tasks. QualificationsExperience:
A bachelor’s degree in accounting, finance, business administration or related field is required. Strong knowledge of GAAP, financial compliance, and best practices in nonprofit financial operations is required. Proficiency in accounting and payroll/HCM software (e.g., QuickBooks, iSolved) is required. Ability to interpret financial data and provide strategic insights to executive leadership and board members is required. A minimum of 3 years’ experience in a related role is preferred.
License :
A valid driver’s license is required and must be maintained throughout employment.
Physical Demands and Working Conditions:
Must be physically able to operate a variety of office equipment including a computer, calculator, telephone, facsimile machine, etc.
Frequent:
Standing, repetitive use of hand, walking, standing, bending neck and waist, squatting, climbing, kneeling, twisting neck and waist, simple and power grasping of left and right hand, fine manipulation of left and right hand, reaching above shoulder level, reaching below shoulder level. Lifting objects up to 25 pounds from below the waist to a height of 3 feet.
