Position Summary
The Financial Affairs Specialist is primarily responsible for assisting the Dean of Finance and Administrative Services in all aspects of Financial Affairs, including analysis, research, and administration efforts related to collegepliance, and is responsible for performing a broad array of operational analyses involving operational and financial audits, evaluating a variety of records, transactions, and procedures against specified standards and criteria to determinepliance with regulations, and performing other analytical tasks relating to accuracy andpleteness of data as well as efficiency and economy of operation of theanization. Essential Duties and Responsibilities
Assist the Dean of Finance and Administrative Services in the annual budget preparation and monthly monitoring of budgets. Update the budget book and Banner budgets as necessary.
Reconcile all areas of the general ledger on a monthly and year-end basis, including cash, accounts receivable, other receivables, inventory, capital assets, accounts payable, other payables, sources of revenues, and other accounts as deemed necessary.
Prepare monthly bank reconciliation.
Cross-train in other positions within the Fiscal Management division and assist as needed in the various positions.
Research bid law updates and attend professional development to retain knowledge concerning Alabama and Federalpetitive bid law. Coordinate and conduct surplus equipment sales and sealed bids according to all bid law process legal requirements. Maintain and update the Procurement Manual as necessary.
Assist in maintaining accurate records of equipment inventory and capital assets according to college guidelines.
Assist Deans and Division Chairs with necessary research for the purchase of specialty equipment.
Review vendor history quarterly for bid lawpliance and document review, and report results to the Dean of Finance and Administrative Services. Maintain a system to track expenditures that may require bidding.
Maintain current construction project files and public works files for college projects.
Maintain and update vendor file. Oversee onboarding new vendors to include credit applications and tax-exempt status.
Prepare and submit monthly sales tax returns.
Maintain a schedule of insurance expense for the college, to includeparing premiums, preparing requisitions, and preparing a year-end schedule of expenses, liabilities, and assets for each insurance premium.
Manage motor vehicle tags and registration, to include ing for a title.
Maintain the office supply closet, to include ordering office supplies, copy paper, and stationery. Prepare the transfer JV at the month-end.
Prepare a monthly spreadsheet reconciliation for Wright Express credit card activity.
Serves on Collegemittees as assigned.
Prepare an analysis on vending machinemissions for all campuses.
Oversee recording the key file for the college, includingpleting approval forms.
Compile spreadsheets for utility and gas cost and usage on a monthly basis.
Preview travel reimbursement for accuracy and attached documents before forwarding to the Dean of Finance and Administrative Services.
Participate in work-related seminars and professional development activities as available.
Qualifications
Minimum of a bachelor’s degree from a regionally accredited institution. Minimum of three years of work experience in a financial or accounting position. Proficiency in Microsoft Office applications such as Word and Excel. Application Procedures/Additional Information
