Job Description

Patient Financial Services Specialist – Financial Counselor 3.3 3.3 out of 5 stars Port Orange, FL Day (United States of America) Patient Financial Services Specialist – Financial Counselor This individual will assist and lead the Patient Accounting Representative team under guidance of the supervisor. Assist in escalated issues with patients, guarantors and third parties on accounts to resolve any questions or concerns towards satisfying account balances with patient/third party liability. Assess all options to patient’s account including payments, contracted payment plans, and financial assistance. Help create worklists and reports to identify account resolution for Patient Accounting Rep team. Help team identify any charity or financial assistance needs; all documentation and coordination with patients will be worked until determination of approval. Document all patient/ third party activity and communication in host systems.

Summary:

This position provides coding support and patient financial counseling services within the Outpatient Women & Infant Care practice. Responsibilities include accurate insurance verification, charge estimation, billing coordination, and patient education regarding financial obligations. The role supports revenue cycle functions from pre-service to post-service, working collaboratively with patients, clinical staff, and administrative teams.

Minimum Qualifications:

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. Minimum two years of experience in healthcare billing, physician practice setting preferred. Experience in Meditech and/or Athena EMR preferred. General PC proficiency and comfort with business applications. Excellent written and verbal communication skills. Ability to interact respectfully and effectively with patients and staff.

Key Responsibilities:
Patient Financial Counseling:

Review insurance coverage and verify benefits for OB patients. Estimate out-of-pocket charges using system tools and communicate them to patients. Assist patients in understanding payment responsibility and available financial assistance or charity programs. Collect payments, establish payment plans, and process electronic transactions. Accurately document all patient communications and updates in billing systems.

Billing & Coding Support:

Collaborate with clinical team to ensure accurate charge capture and documentation. Assist with billing processes for OB services, including review and submission of claims. Follow up on denied or rejected claims and coordinate corrections as needed. Maintain working knowledge of OB/GYN coding and payer-specific billing requirements. Update patient demographics and insurance data timely and accurately.

Customer Service:

Respond to patient inquiries regarding billing and insurance promptly and professionally. Support patients with account resolution and facilitate communications between patients and insurance companies when appropriate. Assist patients with setup and support for the patient portal.

Compliance & Ethics:

Maintain compliance with HIPAA regulations and Halifax Health’s Statement of Organizational Ethics. Consistently perform duties in an ethical, professional, and confidential manner. Attend applicable educational sessions and comply with all organizational policies.

Additional Responsibilities:

Support other front-office administrative duties as needed. Participate in process improvement efforts related to revenue cycle or patient experience. Perform other duties as assigned by practice leadership.
