Duties include:

Maintains revenue records for all funds and divisions which includes the balancing and processing of deposits and reconciling all accounts for daily work transacted.

Ensures that deposits are accurate and deposited daily. This includes daily reconciliation of electronic deposits from online filing systems.

Reviews revenue information and evaluates for accuracy.

Perform all aspects of the accounts payable function and process invoices for payment in compliance with the Secretary of State’s Office and Comptroller General (CG) policies and procedures. Invoices should be scanned into SCEIS when received and process for payment once all approvals are received or goods receipt is completed in SCEIS.Creates monthly shopping carts for agency/division office supplies.

Assists Director of Administration with Administration processes including special projects, reporting requirements to include surveys, W-9 requests, recycling report, quarterly procurement reports, and small and minority business reporting.

Works closely with Deputy Director of Administration on mailing out Administrative Dissolution letters for chargebacks.

Provides backup coverage for receptionist and processing agency mail when needed.

Performs any other duties as requested by the Secretary of State, Deputy Secretary of State, and/or Director of Administration.

EXAMPLE OF DUTIES A

high school diploma and relevant experience in business management, public administration, or administrative services.

A bachelor’s degree may be substituted for required work experience.

Must possess strong computer skills and experience with all Microsoft Office Suite applications.

Must have the ability to complete work and resolve issues in a timely manner.

Must be detailed oriented.

Must have the ability to communicate effectively with internal and external customers.

SUPPLEMENTAL INFORMATION

The starting salary for this position will be $42,000 – $44,832.00, depending upon experience.
