Position Summary The Syndications/Specialty Loan Booking & Funding Manager isresponsible for the booking and funding of complex participated andsyndicated deals, Middle Market, CRE, C&I, Construction, SBAand Specialty loans. This manager leads, trains, and develops theteam of employees responsible for loan onboarding and funding tasksand activities including coaching, training, counseling andmotivating as well as establishes monitoring goals. He/she willprovide subject matter expertise, leadership and support for thedepartment, strategic initiatives, and projects. Consistently gainsthe confidence and trust of the Lines of Business, clients andpeers through honesty, integrity, and authenticity. This position will be responsible for the specialized loanoperations team focused on the Bank’s most complex and high-profilecommercial real estate (CRE) and Commercial and Industrial(C&I) loans, including bank led and purchased participations,syndications, and shared national credits (SNCs). This positionwill oversee all booking, servicing and maintenance functionsperformed by the specialized loan operations team while alsoserving as the primary contact for relationship managers/seniormanagement on all specialized loan operations related customerservice issues. This role is pivotal for ensuring the integrity,efficiency, and compliance of our specialized lendingoperations. Essential Duties and Responsibilities Responsible for the management of Loan Syndication/Specialtybooking and funding team to include booking new/renewed/modifiedloans and servicing complex Commercial loans. Booking includes,quality assurance of documentation, loan account maintenance,advanced processing from agent banks, disbursements, and ratechange communications to participant banks, etc. This will beperformed for the products defined as Specialty Commercial whichincludes Middle Market, Commercial Real Estate, complex Syndicatedand Participated deals, Letters of Credit, SWAP deals, Franchiselending, Leases, etc. Manage and perform booking of Specialty Commercial loans toensure all servicing related functions completed within specifiedSLAs, manage suspense posting, pay off process, and the accuracy ofloan account maintenance, payment, payoff and advance processingfrom Agents, disbursements/rate changes to participant banks anddetailed servicing of SWAP transactions. Prepare, review, and submit timely and accurately the monthly

reports and make necessary updates to system and/orreports to reduce errors/exceptions. Coordinate SBA loan sale information and direct input to loancore system to reflect sale balances, premium, and/or discountamounts. Responsible for boarding SBA loans, loan maintenance on SBAsystem, ACH payments, reconciles non-posted items, and SBAparticipation loans and other SBA transactions. Provide assistance, guidance and decisions to the BusinessLines as needed when addressing new deals and or solutions thatestablish efficiencies. Identify issues and provide workable solutions in addition toanswering questions regarding loan status, loan payment processing,loan system balancing and other related loan issues. Partake in the processing of loan payments, participationremittances and any line of credit advances. Prepare and monitor management reports which communicate theeffectiveness of the department in terms of volume, capacity, SLAsmet, and FTE individual performance. Provide excellent service to internal and external members anddeliver responses in a timely manner with attention to detail andaccuracy. Effectively coach employees by providing feedback on an ongoingbasis to reinforce positive behavior and/or counsel employees tocorrect actions that do not support the bank’s vision, mission orviolates policies or procedures. Manage vendor relationships which provide essential function tothe Commercial Loan Operations Department including technicalresearch of system functionality, testing, and review of systemupdates for new or modifications and impact to operations. Write and perform ongoing analysis to ensure policies, methodsand procedures are accurate, up-to-date and in compliance withinternal and external regulatory requirements. Review and monitor reports provided to ensure departmentcompliance and quality control standards. Coordinate and report onroutine review of procedures by sampling staff completed work toassure compliance. Develop and maintain a broad knowledge of the Syndications andSpecialty Bank product and service offerings, including other loanproducts, forms, web applications and system processes. Understandindustry trends and potential impact on future planning. Participate in internal and external quality control and auditassessments, providing prompt and accurate responses to inquiriesmade, as well as take immediate action to correct or resolve issuesas they are known. Assist the Director of Loan Operations & Administration withthe creating and maintaining the manual of procedures (MOP’s), inconjunction with ERM and Compliance, for assigned personnelensuring complete and accurate step by step documentation ofactions required to process all responsibilities. Develop andcoordinate all aspects of on-the-job training for the team.
Identify and recommend internal and external training to maintainand enhance knowledge and depth of personnel within thedepartment. Embrace modern technology and remain up to date on industrychanges to create an open environment that fosters idea generationand innovation. The Manager is responsible for overseeing staff assigned to thisarea to administer and service syndicated and participated loanactivities, such as overseeing advances, payment, variable ratepricing, fee, and overall maintenance of the loans where Seacoastis the lead/agent or Seacoast is a participating bank.
Oversightand responsibilities to include:
Receive and review borrower’s request or Lead Bank’s request toadvance funds against line of credit ensuring proper availabilityand process advances on the loan system. Prepare notices requestingadvance of funds for participating banks. Receive funds via wire and notices from Lead Banks to postpayments on the loans and clear wire suspense timely. Receive notices requesting loan advances and verify that allprovisions have been met and process the advance on the loan systemand disburse the funds to the Lead Bank in accordance with theAgreement. Calculate the amounts/shares applicable to each participatingbank regarding advances and payments. Coordinate with Commercial Construction Administration toprepare notices requesting advance of funds from participatingbanks and post accordingly upon receipt of funds. Post payments upon receipt from the borrower and or Lead Bankand monitor receipt of wires. Prepare notices of receipt of payments to participating banksand wire funds accordingly. Monitor interest rate and index, repricing and provide ratechange notices to participating bank or process rate changes uponreceipt of notice from Lead Bank. Prepare wire instructions and submit funds to participatingbanks or upon request from lead bank to disburse funds. Prepare Fees Notices with proper fee computations. Process Notes Sales with premium/discount as requested by thelending team in accordance with Accounting Department’s note saleaccounting entries. Monitor delinquencies and work with Lead Bank to settle anydelinquencies due to syndication administrative issues. Reconstruct disputed loan accounting with Lead Bank. Reconcile the Wire Account in suspense for timely posting offunds received. Function as a liaison between relationship managers and theLead Bank. Creating/establishing procedures in support of the LoanSyndication Administration. In depth knowledge of market initiatives to streamline andautomate settlement and servicing. Understands market conventions for managing products acrossSyndicated & Commercial Lending Operations Comfortable interacting with senior internal and externalstakeholders, including the Bank’s Clients, Investors, other AgentBanks, Issuing Banks, Syndications, Front Office etc. Ability to analyze and streamline operational processes,improving productivity and efficiency Knowledge of systems used to manage the Syndicated lendingbusiness. Ability to identify, problem solve and exercise exceptional useof good judgment with respect to issues/circumstances as theyarise. Strong leadership, interpersonal and communication skills(verbal and written). Must have the ability to work well under pressure andeffectively multi-task in a deadline driven environment. Elevated level of attention to detail and the ability to workunder tight deadlines. Ability to manage multiple complex projects simultaneously,ability to multi-task, adapt quickly to changes and workeffectively in a fast-paced environment.
