Full Job Description Mortgage Loan Coordinator Role:

The Residential Mortgage Loan Coordinator supports the mortgage lending team by coordinating the flow of residential loan files from application through closing. This role ensures efficient processing, communication, and documentation, while upholding the credit union’s mission to provide exceptional member service. The coordinator also handles key post-processing functions such as payoffs, withdrawn applications, and compliance support.

Major Duties and Responsibilities:

Coordinate loan progress from application through closing Monitor mortgage loan pipelines, update system statuses, and ensure timely movement of files through each stage of the process. Serve as the primary communication liaison. Facilitate communication between loan officers, processors, underwriters, closers, and members to ensure file accuracy and timeliness. Coordinate loan closings. Schedule loan closings with members and third parties, prepare necessary documents, and confirm all pre-closing conditions have been satisfied. Process payoff requests and payments. Respond to internal and external payoff requests, generate payoff statements, and process payoff payments in accordance with policy. Process withdrawn loan applications. Review and finalize the withdrawal process for applications that are canceled by the member or denied, ensuring accurate documentation and timely updates in the loan origination system. Collect, review, and organize documentation. Gather supporting documents from members and third-party vendors; ensure files are complete and compliant before submission to underwriting. Order and track third-party services. Initiate orders for appraisals, title work, flood certifications, and verifications of employment or assets as needed. Maintain data accuracy in the Loan Origination System (LOS). Ensure up-to-date loan statuses, file completeness, and audit readiness. Assist with HMDA compliance procedures. Support data accuracy, documentation, and reporting efforts related to the Home Mortgage Disclosure Act (HMDA) to ensure regulatory compliance. Deliver excellent member service. Provide prompt responses to member inquiries, status updates, and resolve basic loan-related questions throughout the process. All employees are made aware of their responsibilities under the

regulations with continuing training, to ensure that they adhere to our internal policy and procedures. Performs other related duties as assigned.

Knowledge and Skills:
Experience:

1-3 years of experience in mortgage lending, loan processing, or loan coordination, preferably in a credit union or community-based financial institution.

Education/Certifications/Licenses:

High school diploma or equivalent required; associate or bachelor’s degree in business, finance, or a related field preferred.

Interpersonal Skills:

Outstanding communication and interpersonal skills. Commitment to confidentiality, member service, and team collaboration.

Other Skills:

Working knowledge of residential mortgage lending procedures and regulatory requirements. Familiarity with loan origination systems (e.g., Encompass, Mortgage Bot) and Microsoft Office Suite. Excellent organizational and multitasking abilities.
