Job Overview:

The Commercial Lending Specialist serves as a critical support resource for both the Commercial Lending and Portfolio Management functions. This role acts as a Loan Officer Assistant and Portfolio Management Assistant , providing administrative, operational, and client-facing support to ensure efficient processing, member satisfaction, and regulatory compliance throughout the loan lifecycle. The Specialist will coordinate due diligence, manage loan documentation, support closing, and oversee the annual review process.

Key Responsibilities:

Loan Officer & Relationship Support Serve as the primary support for commercial lenders and business development officers, assisting with day-to-day tasks including: Drafting proposals, engagement letters, and pipeline updates. Managing borrower communications and status updates. Assist in gathering upfront borrower documentation for new loan requests and renewals. Maintain CRM, loan pipeline tracking systems, and internal loan tracking spreadsheets. Loan Closing & Funding Support Coordinate and track all post-approval activities to facilitate loan closing, including: Managing the collection of required documents (e.g., appraisals, environmental reports, title work, insurance, entity documents). Liaising with internal departments, borrowers, title companies, and legal counsel. Ensuring all closing conditions and documentation are complete, accurate, and compliant. Annual Review & Portfolio Management Support Coordinate the annual review process for commercial loan portfolios, including: Requesting and collecting updated financials, tax returns, insurance certificates, rent rolls, and borrower certifications. Working with the credit and lending teams to ensure timely completion and documentation of reviews. Monitoring maturity and covenant tracking reports; assisting in gathering items for tickler resolution. Maintain accurate borrower files and digital documentation in accordance with policy and audit requirements. Manage the past due report. Client Onboarding & Account Maintenance Facilitate new commercial and small business account openings and onboarding processes. Ensure compliance with all regulatory and internal procedures (e.g., KYC, CIP). Process account maintenance requests including signer changes, address updates, or account closures. Provide ongoing member support related to commercial accounts, treasury management, services, and loan inquiries.

Administrative & Operational Duties:

Maintain organized documentation and status reports on pending closings, reviews, and documentation requests. Schedule and prepare materials for meetings with borrowers, vendors, or internal teams. Track and escalate any outstanding items or delays in closing or review processes. Provide support on special projects and operational initiatives led by the Commercial Lending or Operations leadership. Identify opportunities to streamline processes, improve service delivery, and enhance member experience.

Compliance & Risk Management:

Ensure all activities are conducted in accordance with NCUA regulations, internal policies, and audit standards. Maintain confidentiality and accuracy in handling sensitive member and loan information. Assist in preparation for internal, regulatory, or third-party audits and examinations.

Qualifications:

3+ years of experience in commercial lending, banking operations, or a related financial services role. Extremely strong organizational and time management skills. Excellent communication skills and a professional member service approach. Familiarity with loan documentation, financial statement review, Microsoft SharePoint applications, and loan origination systems is preferred. Ability to work independently and collaboratively in a fast-paced, stressful at times, deadline-driven environment.
