GENERAL DESCRIPTION

SUMMARY The Escrow Assistant will provide essential administrative and operational support to the Escrow Specialist in managing tax and insurance escrow accounts. This role requires attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced servicing environment. The Escrow Assistant will play a key role in ensuring timely and accurate processing of escrow-related tasks to support loan servicing and compliance requirements.

MINIMUM ELIGIBILITY REQUIREMENTS

High school diploma or equivalent; associate’s degree preferred. Two years of experience in mortgage servicing, escrow processing and the management of bulk insurance and tax payments. With an equivalent combination of education and experience sufficient to perform the job duties and responsibilities of the job, as determined by The State of Georgia. Familiarity with loan servicing systems and escrow functions is a plus. Strong attention to detail and organizational skills. Strong understanding of escrow analysis portfolio management and loan servicing documentation. Black Knight experience preferred. Strong computer skills including Microsoft Office Suite. Excellent analytic skills, attention to detail, and ability to work within time constraints. Self-motivated, comfortable taking initiative and handling multiple projects simultaneously. Professional and excellent level of interpersonal skills to work effectively with others. Excellent verbal and written communication skills. Fast learner with the ability to rapidly acquire detailed knowledge of departmental policies, practices and procedures. Must be organized and possess excellent customer service skills. Ability to multi-task, meet deadlines, and work in a fast-paced environment. Reports to work on a daily and timely basis.

JOB DUTIES AND RESPONSIBILITIES
Essential Duties:

Assist with the review and processing of escrow analyses, including data entry and document preparation. Support in identifying escrow account shortages or overages and assist in preparing communication for borrowers. Help monitor and respond to emails in the Escrow Department inbox, including drafting responses and follow-ups. Assist in researching and resolving borrower inquiries related to tax and insurance payments. Support the coordination of manual tax and insurance payments, including preparation of wire forms and check requests. Upload legal descriptions and insurance documents to servicing systems as needed. Assist with scanning, filing, and organizing escrow documentation in the appropriate folders or systems. Help prepare escrow refund packages and support manual refund requests. Monitor CoreLogic and vendor reports to assist the Escrow Specialist in tracking action items. Coordinate with internal departments (e.g., Insurance, Accounting, Loss Mitigation) to ensure timely processing of escrow tasks. Maintain accurate and up-to-date records in the servicing system.

Communication:

Respond politely and courteously to customer inquiries via email and telephone and make sure that any problems they have is resolved Mail additional document request notifications to borrowers within allotted timeframe to remain in compliance Mail or email acknowledgment letters to borrowers within allotted compliance timeframe Mail all approval, denial, and appeal decision letters within allotted compliance timeframe Excellent level of oral and written communication skills. Ability to communicate across a variety of audiences.

Administrative:

Upload legal descriptions and insurance documents to servicing systems as needed Assist with scanning, filing, and organizing escrow documentation in the appropriate folders or systems Release tax payment TAR files Perform other related duties, as assigned

WORKING CONDITIONS

(TRAVEL, HOURS, ENVIRONMENT) This position is salaried. Work hours are 8:00am•5:00 pm on Monday-Friday with adjusted hours at mid-month and month-end per business needs. No travel required While performing the duties of this job, the employee will work primarily in a climate-controlled environment with minimal safety/health hazard potential

PHYSICAL / SENSORY REQUIREMENTS

Work is principally stationary, but the person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc., and constantly operates a computer and other office equipment. Must be able to remain in a stationary position 50% of the time. Must be able to perform office-related duties. Must be able to operate office equipment. Must be able to establish and maintain effective working relationships with employees, tenants, and community agencies and other entities that provide services. Must be able to perform essential job functions, with or without reasonable accommodation. Must be able to perform essential job functions in an environment that will sometimes include increased levels of work-related stress. Must maintain punctuality and attendance as scheduled.
