Chewy is looking for a Leave and Accommodation Analyst to join our Human Resources Shared Services Team! Under the supervision of the team manager, this role is responsible for Leave of Absence (LOA) and ADA Accommodation case management for Chewy. This role will review leave and accommodation cases under general leave types such as: Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), State and Local Laws & Chewy specific policies. This role involves maintaining regular communication and prompt follow-ups with internal partners to deliver a seamless Leave experience. Additionally, you will collaborate with teams such as Benefits, Legal, Payroll, Local HR, and our Third-Party Administrator to ensure cases are resolved efficiently and on time.
What You’ll Do:
Manage an ongoing caseload of leave and ADA requests and critical issues, ensuring high performance, accuracy, and compliance with internal standards and legal requirements Educate employees and HR on complicated aspects of return to work, accommodations, and complex case processes Consult with HR partners to make recommendations for leaves of absence and ADA accommodations based on federal regulations and company policies Monitor implemented accommodations to ensure viability and proactively engage when adjustments are needed Effectively document, analyze and resolve escalated leave and accommodation-related issues Maintain relevant HR repositories, job aids, and SOPs, to ensure tools and communications are up to date Gather critical data as requested (case notes, dates, etc.) to support the company in its compliance efforts, including identifying and consulting on high-risk legal events including accommodation denials and potential termination actions Consult, coordinate, negotiate, and partner with our LOA TPA, HR, Legal, Payroll, Managers, Benefits, Team Members, and other departments/systems as appropriate Conduct regular audits, monitoring, and reporting to ensure employer compliance and data integrity within chewy systems and third-party provider platforms Partner with Third Party Administrator on the day-to-day processes by managing workflow, including tracking the status of claims, identifying discrepancies, acquiring approvals and/or following up on outstanding issues Based on case performance insights in ServiceNow, partner with sites to enhance their understanding and improve case operation in ServiceNow Perform root cause analysis to find opportunities for improvement, communicate findings, and monitor to ensure effective resolution Partner with Payroll to resolve any pay discrepancies or issues in the handling of an LOAA Claim Collaborate with cross-functional teams to review operational processes and systems, identify areas for improvement, and implement necessary changes to enhance the overall LOAA experience Use data-driven insights to inform decision-making processes related to LOAA case management strategies and procedures Offer on-demand training sessions to internal collaborators as needed to close knowledge gaps or clarify workflows
What You’ll Need:
Bachelor’s Degree in Human Resources or equivalent experience 3 years’ experience years administering requests for accommodations, leaves of absence, and FMLA Advanced knowledge of US Federal, State, and Local leave law, the Americans with Disabilities Act, and other leave-related regulations Preserves confidentiality of employee medical documentation and files with an understanding of HIPAA requirements Demonstrable knowledge in using ServiceNow or similar HR case management software, Workday or similar HRIS systems, Kronos, etc. Strong analytical skills with experience in conducting root cause analysis and driving process improvements Excellent customer service and communication skills with an ability to answer questions tactfully and resolve difficult situations with Team Members and leaders Demonstrated organizational skills including the ability to prioritize workload, balance conflicting priorities, and attention to detail Prior experience working with a third party leave administrator as a vendor is a plus Chewy is committed to equal opportunity.
