This position will report to the organization’s Payroll Manager, who is not located in the corporate office. Job Summary We are seeking an experienced Payroll Supervisor to join our organization. This position will oversee and manage the day to day payroll operations in our corporate office, ensuring accurate and timely processing for clients, while also managing staff and ensuring compliance with payroll laws. This role involves a mix of payroll processing, team management, client interaction, as well as direct collaboration with the Payroll Manager, to provide a seamless payroll service to our clients.

Key Responsibilities Team Management:

Supervises and manages a payroll team, including training, assigning tasks, and providing support, with collaboration with the Payroll Manager. Assist with payroll processing. Reviews work for accuracy, compliance and timeliness of clients’ payroll processing. Measure productivity of resources, set business performance improvement targets, and establish plans to achieve ideal productivity and accuracy standards. Handles staff development and performance management, in collaboration with the Payroll Manager. Contribute to the development of standard operating procedures ( “SOP’s” ) for the Payroll Specialists. Continuous reporting on productivity, accuracy, and client satisfaction metrics to the Payroll Manager. Assist the Payroll Manager in the strategic development and formalization of enhanced, repeatable, and optimized processes, procedures and standards that affect both internal & external clients in conjunction with upper management Enhance and / or establish departmental training plans according to company objectives with Payroll Manager. Identify skill gaps and establish learning paths for existing team members. Structure regular team meetings, set priorities, and focus team’s efforts daily. Ensure accuracy of workflow and effective communication of clients’ expectations and needs. Facilitate positive client experience by maintaining professional relationships between the team and other internal departments. Ensure preciseness of computations, statutory withholdings, voluntary deductions, and overall employee payroll records. Review and approve compliance and effectiveness of payroll audit controls with Payroll Manager. Test and implement payroll system enhancements and modifications. Support all internal and external audits related to payroll. Oversee and add additional billing items as needed

Client Interaction:

Serves as a point of contact for clients regarding payroll inquiries and issues. Provides support and guidance to clients on payroll-related matters. Works with clients to resolve any issues or discrepancies. Direct communication with Payroll Manager on all escalated client matters and issues. Works directly with the New Client Implementation Team for onboarding of clients.

Other Duties:

May assist with year-end payroll processing, including preparing W-2s and other tax forms. May participate in payroll software upgrades and improvements. May handle other duties as assigned by management.

Required Skills and Qualifications Payroll Expertise:

Strong understanding of payroll principles, procedures, and regulations.

Technical Skills:

Proficiency in payroll software and systems.

Leadership and Management:

Ability to lead, motivate, and manage a team effectively.

Communication Skills:

Excellent written and verbal communication skills for client interaction.

Analytical Skills:

Ability to identify and resolve errors and discrepancies in payroll processing.

Detail-Oriented:

High attention to detail and accuracy in data entry and processing.

Problem-Solving:

Ability to resolve complex payroll issues and provide effective solutions. Education/Work Experience A minimum of five years’ experience in a multi-state and multi-client payroll processing environment. PEO experience is a plus. A minimum of three years’ experience managing and leading a team of payroll professionals. Certified Payroll Professional ( “CPP” ) highly preferred, but not required. Bilingual strongly preferred (Spanish). Experience in a fast-paced customer service-oriented environment is highly desirable. Ability to organize, multitask, and prioritize in a deadline-driven environment. Demonstrated ability to handle high levels of task completion and demands. Proven ability to work independently and in a collaborative team environment as required. Experience with Prism HR is a must. Experience with HRIS conversions is highly desirable. Competency Computer proficiency with Microsoft Office (Word, Excel, PowerPoint) and payroll processing software. Excellent organizational and time management skills. Excellent communicator in writing and verbally in formal and informal business settings. Strong attention to accuracy and detail. Team player, results-focused, strong work ethic. Must be enthusiastic and customer-service driven. High ethical standards.
