Payroll & Benefits Supervisor
Description SUMMARY
The Payroll & Benefits Supervisor owns full‑cycle administration of all employee benefit programs—medical, dental, vision, life, disability, retirement, wellness—and manages all leaves of absence. Operating in a 24/7, multi‑shift manufacturing environment, the role ensures cost‑effective plan renewals, vendor performance, flawless employee experience, and strict compliance with federal, state, and local regulations (e.g., ERISA, ACA, HIPAA, FMLA, ADA, USERRA, state paid‑leave statutes, workers’ compensation).
Key Responsibilities
Manage the company’s payroll and benefits function, ensuring payroll is processed on time and accurately
Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions
Prepares and maintains accurate records and reports of payroll transactions
Review and process quarterly and/or year-end payroll procedures, including reviewing tax statements and other applicable quarterly and year-end documents
Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
Thoroughly understand the process and calculations for unemployment taxes in Georgia
Manage benefits programs such as 401k, medical, dental, vision, life, voluntary life, and flexible spending plans
Manage monthly billings from insurance providers and other vendors, including reviewing billings for accuracy, codes, and advance for payment
Facilitate audits by providing records and documentation to auditors
Lead annual plan review, RFPs, carrier negotiations, and renewal implementation.
Analyze utilization, claims, and trend data to recommend plan design changes and cost containment strategies.
Prepare cost scenarios and budget forecasts and present to leadership.
Oversee enrollment, life-event changes, COBRA, and retiree benefits through ADP Workforce Now.
Audit carrier invoices, eligibility files, manage EDI files, reconcile payroll deductions, resolve discrepancies.
Manage wellness initiatives and dependent eligibility verifications.
Serve as subject matter expert for all leave types: FMLA, ADA, USERRA, Workers’ Compensation, Parental, Jury Duty, Bereavement, Personal, and Company-specific programs.
Lead implementation of 3rd party FMLA module.
Coordinate all leave between Manager, HR, EHS.
Track leave usage and ensure accurate payroll coding by pulling reports from Absence Pro.
Maintain plan documents, SPDs, and 5500 filings; oversee nondiscrimination and ACA reporting (1094-C/1095-C)
Prepare leave, benefits, and wellness metrics.
Drive internal and external audits (DOL, IRS)
Develop and deliver benefits/leave education – orientation, annual open enrollment, and targeted campaigns across multiple shifts.
Provide escalated employee support, ensuring timely, confidential resolution. Maximize HRIS and benefits platforms (ADP Workforce Now and ADP Workforce Manager) for automation and data integrity.
Document SOPs, create job aids, and lead continuous-improvement projects.
Supervise payroll specialists, set goals, mentor, and evaluate performance.
Knowledge, Skills & Abilities (KSAs)
Comprehensive knowledge of group benefit plan design, funding arrangements, ERISA, ACA, HIPAA, Section 125, COBRA, and retirement plans (401(k)/pension).
Experience in leave management—FMLA, ADA/ADAAA, USERRA, and coordination with short‑/long‑term disability.
Advanced Excel skills (pivot tables, Power Query). Project Management—organize simultaneous renewals, open enrollment, and continuous improvement initiatives under tight deadlines. HRIS/Technology Proficiency—benefits administration platforms, case‑management tools, and payroll interfaces; ability to drive system implementations or upgrades. Leadership & Coaching—develop high‑performing team, foster collaboration across HR, Finance, Safety, and Operations; model ethical, confidential handling of sensitive data. Problem‑Solving & Negotiation—negotiate vendor contracts, resolve complex claim issues, and mediate leave/accommodation challenges with empathy and consistency.

Education and Experience:

Bachelor’s Degree in any field with aptitude for human resources.
SHRM-CP preferred but not required
5+ years of progressively responsible payroll/benefits/leave experience.
