Payroll Manager C2 Staffing Solutions Manhattan, NY 10003 Job Summary We are seeking a detail-oriented and experienced Payroll Manager to oversee our payroll operations. The ideal candidate will be responsible for ensuring accurate and timely processing of payroll, compliance with applicable laws, and maintaining payroll records. This role requires strong knowledge of payroll management, accounting principles, and human resources practices. The Payroll Manager will collaborate with various departments to ensure seamless payroll operations and contribute to the overall financial health of the organization. 1.

Data Collection and Management:

Gather employee data, including personal information, employment details, and pay structures. Implement attendance tracking and time management systems. 2.

Salary Calculation:

Determine gross salary based on employee data and pay structures. Calculate various deductions, including taxes, benefits, and other withholdings. 3.

Tax and Compliance:

Manage and calculate statutory deductions like income tax, social security, and unemployment.

Payment Processing:

Generate payslips and other payroll documents. Disburse employee pay through direct deposit, checks, or other methods. 5.

Reporting and Analytics:

Generate payroll reports and analytics to track payroll costs, compliance, and performance.

Record Keeping:

Maintain accurate and organized records of payroll transactions and employee data.

  • Ensure data is securely stored and accessible for auditing and reporting purposes Duties Manage the end-to-end payroll process, ensuring accuracy and compliance with federal, state, and local regulations.

Prepare and review journal entries related to payroll transactions. Maintain payroll records and ensure data integrity within the payroll system. Collaborate with human resources to address employee inquiries regarding payroll-related matters. Process accounts receivable as it relates to payroll deductions and adjustments. Utilize Workday for efficient payroll management and reporting. Conduct regular audits of payroll data to identify discrepancies or areas for improvement. Provide training and support to staff regarding payroll procedures and financial concepts. Stay updated on changes in legislation affecting payroll practices. The successful candidate will join a dynamic team of professionals in the Business Office. The position reports to the Director of Human Resources and the Chief Financial and Operating Officer (CFOO) and has the primary responsibility of overseeing the payroll and benefits functions, as well as working closely with the Director of Operations, Controller, Accounts Payable and Accounts Receivable accountants. The position works in a collaborative office environment, working with sensitive information under tight deadlines, with confidentiality and discretion to be maintained at all times. Duties and responsibilities include but are not limited to:

  • Responsible for all aspects of payroll processing for school employees including entering benefit contributions, garnishments, 403(b) contributions, etc.
  • Conducts review, analysis, and entry of payroll related information, ensuring accuracy, and compliance with wage and hour laws, collective bargaining agreements, and other guidelines
  • Prepares GL accounting entries for entry into accounting system and supports month-end close, related reconciliations and ADP tax filings
  • Timely reconciliation and funding of retirement assets, FSA and HSA contributions
  • Ensures W-2s and 1095’s are completed timely each year
  • Serves as the primary contact to all employees for payroll and benefits inquiries and makes updates/changes to payroll and benefits portals as needed
  • Performs benefits administration of all employee benefit programs including retirement, medical, dental, vision and ensures compliance with legal requirements, onboarding and termination
  • Participates in HR, Workers’ Compensation and Finance annual audits by preparing, collecting and organizing data
  • Processes and tracks pre-employment background checks for all employees including, substitute teachers, coaches, tutors, student teachers, and independent contractors
  • Organizes and tracks employee attendance
  • Assists with the preparation of letters of employment and benefits sheets for employees
  • Maintains all employee files and ensures proper documentation is completed by employees
  • Processes annual census and surveys for retirement and other organizations as needed
  • Assists the Director of Operations and CFOO with special projects
  • Assists with revisions and updates of the employee handbook
  • Reports all work related injuries/incidents to Worker’s Compensation and coordinate follow up as needed
  • Works with Communications Team to update HR-related content on the Faculty and Staff Resource Board in Blackbaud
  • Additional duties as assigned by the Director of Human Resources and/or CFOO Qualifications
  • Bachelor’s degree in related field
  • Minimum of 3-5 years of experience processing payroll and administering employee benefit programs
  • Certified Payroll Professional (CPP) and/or Professional in Human Resources (PHR) a plus
  • Proficient in ADP Workforce Now, iPay, MS Office and Google Suite
  • Strong analytical and problem-solving skills, with meticulous attention to detail
  • Strong interpersonal and customer service skills
  • Excellent oral and written communication skills
  • Demonstrated ability in working well with multiple constituencies in a collaborative office environment Experience Proven experience in payroll management or a similar role is essential.

Strong understanding of accounting principles, corporate accounting, and financial concepts. Proficiency in using Workday or similar payroll software is preferred. Familiarity with 10 key typing for efficient data entry tasks. Experience in human resources functions related to employee compensation is a plus. Excellent attention to detail and organizational skills are required. Strong analytical skills with the ability to interpret complex data sets.
