Role:

As the Payroll & Benefits Coordinator you will be supporting the payroll function for US Operations. Reporting to the Payroll & Benefits Manager, the successful incumbent will be responsible for processing payrolls on a semi-monthly basis while maintaining confidentiality and accuracy in all aspects of payroll administration. The coordinator is also responsible for various activities such as maintaining the payroll system and responding to payroll and benefit queries. The Payroll Coordinator will also be responsible for maintaining administrative responsibilities over benefits such as Medical, Dental, Vision, Cobra, 401K and transit benefits. The candidate must adhere to stringent timelines for tasks assigned and exercises discretion when dealing with confidential material.

Your Role:

Assists in the processing of multi-state, semi-monthly payroll using ADP for approximately 900 employees and acts as a liaison between ADP and Citco. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Set up WGPS Payees and process deductions for Wage Garnishment/ Levies per Court Order and maintain accurate employee payroll deductions. Updates and maintains employee data in the ADP system Organizes and files payroll records and reports. Assists employees and customers with payroll related questions & issues and escalate as needed. Generate, update and distribute various HR/Payroll standard and statistical reports such as headcount, pension, overtime and benefits. Maintain payroll records to facilitate audits and ready access to payroll information Ensure that all year-to-date wages are updated in order to obtain accurate W2s Respond in a timely manner to inquiries from HR, accounting, managers, employees and 3rd party agencies Maintain up to date and current knowledge in payroll and related legislation

Benefits Coordination:

Maintains health and welfare plans including enrollments and terminations. Assists with the company’s benefits program including open enrollment, making changes based upon qualifying events. Resolves employee complaints related to health and welfare plans and refers difficult or very complex complaints to manager as needed. Acts as liaison with various insurance carriers and fosters effective relationships with client representatives. Keeps management advised of potential problem areas and recommends/implements solutions as appropriate. Maintains and track all COBRA and FMLA claims from start to finish Assists with the reconciliation of monthly billings from insurance providers. Reviews billings for accuracy, resolves discrepancies with carriers, payroll and the company

HR Coordination:

Set up, maintain and close out employee and HR files in accordance with State and Federal employment laws and company regulations to ensure files are complete and in compliance Create and maintain spreadsheets for employees on work permit, maternity and sick leave Process New Hire and Termination Checklists. Update Employees personal file and ensure that their confidential information is secured Audit new hire paperwork and I-9s to ensure compliance. Provides administrative support to all areas of the Human Resources Department including escalations on discrepancies in the HRIS system.

About You:

PCP Certification preferred Minimum 1 – 2 years of experience in dealing with high-volume full cycle payroll Experience using ADP HR/Payroll Ability to work with spreadsheets and databases, with a track record of accuracy and attention to detail Customer service orientation Ability to maintain confidentiality Ability to work collaboratively in a team environment Ability to deal with conflicting priorities and demanding workload Computer proficiency, demonstrated competence in Word, PowerPoint, Visio, Excel and HR Oracle systems Our Benefits Your well-being is of paramount importance to us, and central to our success.
