We’re looking for a Payroll Specialist to ensure accurate, on-time payroll processing for employees across the U.S. In this role, you’ll take the lead on payroll audits, balance accounts, streamline processes through SOP development, and serve as a go-to expert for internal teams. Qualifications & Experience:

Key Responsibilities:

Process and manage weekly payroll for U.S. employees, ensuring compliance with all federal, state/provincial, and local regulations. Conduct detailed audits of payroll data and employee records to ensure accuracy and integrity of each payroll cycle. Balance payroll registers, tax filings, and general ledger accounts, resolving discrepancies proactively. Lead and implement process improvements to increase accuracy, efficiency, and compliance across all payroll operations. Develop and maintain clear and effective Standard Operating Procedures (SOPs) for payroll processes and controls. Work independently to manage timelines, research issues, and ensure the highest level of accuracy and confidentiality. Serve as a subject matter expert and resource for employees and management on payroll-related matters. Provide exceptional customer service, resolving inquiries in a professional and timely manner while meeting SLA requirements. Educate employees and managers on payroll procedures, policies, and timelines. Ensure payroll compliance across all jurisdictions by staying informed of legislative changes in the U.S. and Canada. Collaborate with HR, Benefits, and Finance teams to coordinate data and maintain accurate payroll records. Support internal and external audits by preparing accurate documentation and responding to auditor requests. Qualifications Bachelor’s degree in Accounting, Finance, Human Resources, or equivalent practical experience. 2+ years of payroll experience, including direct experience with weekly payroll processing in the U.S. California payroll experience preferred. Strong knowledge of payroll systems (e.g., UKG, WFM (formerly Kronos)) and advanced Excel skills. Experience balancing payrolls and performing payroll account reconciliations. Demonstrated ability to work independently and handle sensitive information with discretion. Exceptional attention to detail, time management, and problem-solving skills. Strong interpersonal and communication skills with a commitment to delivering excellent service. Experience with Fresh Desk or an equivalent ticketing system is preferred.
