Summary:

The Payroll Specialist is responsible for managing and overseeing payroll processes for employees across different pay structures, including hourly, salaried, day rate, and incentive-based compensation. This role ensures accurate and timely payment of wages, compliance with industry and legal standards, and effective management of payroll systems. The Payroll Specialist will collaborate with multiple departments to streamline payroll operations and resolve any pay-related discrepancies.

Essential Functions:

Ensure timely and accurate payroll processing for a workforce comprising hourly employees, salaried staff, day-rate workers, and those receiving incentive-based pay. Verify that overtime, shift differentials, bonuses, and other variable compensations are calculated and paid correctly. Oversee the collection and validation of time records from employees across different pay categories. Ensure that the timekeeping system accurately reflects employee hours worked, including overtime and breaks for hourly workers. Ensure compliance with federal, state, and local laws regarding wages, overtime, and tax withholdings. Record payroll records into municipal databases as required by agreements. Process payments for employees based on incentive programs, ensuring accurate tracking and calculations of performance metrics. Manage payroll software systems, ensuring data integrity and system updates. Generate payroll reports HR team, leadership, and operations teams. Address employee inquiries regarding pay discrepancies, overtime, incentive payouts, or benefits. Ensure employees understand how their pay is calculated, especially in complex compensation models like day rates and incentives. Work with HR to update employees on changes in pay structure, benefits, and tax regulations. Collaborate with HR to ensure employee data (hires, terminations, benefits) is updated promptly in payroll systems. Work closely with Operations and Finance departments to streamline payroll procedures and address payroll-related issues Responsible for assisting in collecting data for payroll audits as requested by audits throughout the year

Preferred Education and Experience:

Minimum 3 years of payroll experience, preferably within a labor-intensive industry Familiarity with multi-structured compensation models, including hourly, salaried, day rate, and incentive-based pay. Understanding of relevant labor laws, especially those governing industries with shift work, hazardous material handling, and incentive pay. ADP Workforce Now experience preferred Strong proficiency in Microsoft Excel and other financial tools. Ability to maintain confidentiality and discretion in handling payroll information. Bilingual in Spanish or Creole preferred
