This role involves handling payroll for multiple client companies, ensuring accurate and timely payment to employees, compliance with federal, state, and local regulations, and providing outstanding support to enhance client satisfaction. The specialist collaborates with HR, benefits, and finance teams to deliver comprehensive payroll solutions under a co-employment model.
Responsibilities Payroll Processing :
Accurately calculate and process payroll for multiple clients, including wages, overtime, bonuses, taxes, garnishments, and deductions, ensuring compliance with PEO guidelines and client specifications.
Customer Service Excellence :
Provide exceptional client support by promptly addressing payroll inquiries, resolving issues with empathy and professionalism, identifying cross selling opportunities, and maintaining positive relationships to ensure high client satisfaction and retention.
Data Management :
Compile and maintain client and employee payroll data, including demographic changes, time-off accruals, direct deposit information, and benefit deductions, in payroll systems.
Compliance :
Ensure payroll processes adhere to federal, state, and local tax regulations, including withholding and filing taxes under the PEO’s Employer Identification Number (EIN). Stay updated on payroll laws and regulations.
Client Communication :
Act as a primary point of contact for clients, proactively communicating payroll updates, offering tailored solutions, and ensuring a seamless client experience.
Record Keeping :
Maintain accurate and confidential payroll records, including earnings, deductions, and tax filings, and prepare reports for clients and internal stakeholders.
System Maintenance :
Enter and update client data in payroll software, troubleshoot data inconsistencies, and recommend process improvements to enhance efficiency and client experience.
Tax Filings :
Assist with or manage payroll tax filings, including quarterly reports and year-end forms (e.g., W-2s), under the PEO’s EIN, ensuring timely submission.
Collaboration :
Work closely with HR and benefits teams to ensure seamless integration of payroll with timekeeping, benefits administration, and compliance processes.
Audits and Reporting :
Conduct regular payroll audits to ensure accuracy and compliance, and generate custom reports for clients, such as labor costs or payroll summaries, to support their business needs.
