Hourly Position Overview The Payroll & Benefits Clerk is responsible for the timely and accurate processing of weekly payroll for approximately 450 employees across 6 dealership locations. The role requires specialized attention to different pay structures, including technicians, commissioned salespeople, managers, corporate staff, and monthly bonuses. This position ensures compliance with all federal and state regulations, supports employee inquiries, and coordinates closely with the Accounting Operations Manager and HR for seamless integration of payroll and benefits administration. Key Responsibilities 1. Payroll Processing & Accuracy Collect and verify timekeeping data from all departments, including variable pay types (commission, bonuses, service techs). Process weekly payroll across all 6 stores with extreme attention to timing and accuracy. Ensure compliance with federal, state, and dealership-specific payroll rules. Manage and verify changes to pay rates, job titles, tax status, benefits, and deductions. Reconcile payroll with trial balance as directed by the Accounting Operations Manager. 2. Employee Record Management Maintain up-to-date and secure employee payroll records in ADP Workforce Now. Work with HR to coordinate data entry for new hires, terminations, promotions, and benefit elections. Ensure correct tracking of PTO, leave balances, and non-taxable compensation. 3. Benefits Administration Support benefit enrollment, processing, and troubleshooting for medical, dental, vision, and 401k programs. Assist employees with enrollment, claims, and documentation as needed. Prepare 401k contribution reports and support ADP file feeds or vendor uploads. 4. Compliance, Reporting & Documentation Prepare payroll reports and summaries as needed for internal stakeholders and auditors. Stay informed on payroll tax law and

ACA/COBRA

requirements; assist HR with required notifications and filings. Maintain confidentiality and accuracy in all payroll and benefit records. 5. Collaboration & Communication Coordinate with department managers to resolve payroll discrepancies or processing issues quickly. Attend regular meetings with the Accounting Operations Manager to ensure payroll ties to general ledger. Communicate clearly and professionally with employees at all levels to support payroll accuracy and benefit understanding. 6. Professionalism and Departmental Support Maintain a clean, organized, and confidential workspace. Perform other accounting or HR-related tasks as assigned by the AOM to support business continuity and compliance. Qualifications High school diploma required; Associate’s or Bachelor’s degree in Accounting, HR, or related field preferred. Minimum of 2 years of payroll experience with large employee bases; dealership experience highly preferred. Strong knowledge of federal/state payroll regulations, tax codes, and benefits compliance. ADP Workforce Now experience is preferred. Proficiency with Microsoft Office (Excel, Outlook, Word). Strong attention to detail and data accuracy. Excellent communication and problem-solving skills. Discretion with confidential information. Ability to meet tight weekly payroll deadlines and work independently. Physical Demands Extended periods working on a computer. Regular use of office equipment such as telephones, photocopiers, and filing systems. Sitting, standing, and walking intermittently throughout the day. Ability to lift up to 25 pounds on occasion. Clear vision for screen-based and document review. Manual dexterity for data entry and file management. Work Environment Professional office setting at the corporate headquarters or designated accounting center. Occasional travel to store locations may be required. Interaction with multiple departments and remote coordination across locations. Fast-paced deadlines related to payroll cycle expectations.
