Job Description

Position Overview:

The Payroll Specialist is responsible for ensuring accurate and compliant payroll operations across multiple states, with a strong focus on garnishment processing, multi-state tax management, and benefit funding. The ideal candidate will have hands-on experience with ADP WorkForce Now, a solid understanding of payroll compliance, and be proficient in Excel for reporting and analysis.

Essential Functions:

The essential functions include, but are not limited to the following: Multi-State Payroll Tax Management Accurately calculate and file payroll taxes across multiple states. Ensure compliance with local, state, and federal tax regulations. Research and resolve tax discrepancies or notices in a timely manner. Garnishment Processing & Compliance Process all types of wage garnishments including child support, levies, and other court-ordered deductions. Interpret and apply garnishment laws to ensure compliance with federal and state requirements. Respond to agency inquiries and maintain thorough documentation. Benefits & Contribution Processing Manage and process employee contributions for 401(k) and Health Savings Accounts (HSA). Coordinate with benefit providers to ensure timely and accurate funding. Assist with audits and reporting for benefits compliance. Prevailing Wage Compliance Understand and apply prevailing wage laws to applicable employees and projects. Maintain documentation and reporting in alignment with regulatory requirements. Payroll System Administration Utilize ADP WorkForce Now for payroll processing, reporting, and data management. Ensure system integrity and accurate employee data across platforms. Reporting & Analytics Prepare detailed payroll and tax reports using Microsoft Excel. Use pivot tables, VLOOKUPs, and other Excel functions for data analysis and reconciliation. Assist with year-end reporting including W-2s and other compliance documentation.

Qualifications/Special Knowledge Skills:

Proficiency in Field Tools for payroll data entry and management. Ability to maintain confidentiality and exercise sound judgment. Excellent problem-solving skills, attention to detail, and accuracy. Superior organizational skills, with the ability to prioritize multiple tasks and meet strict deadlines. Strong written and verbal communication skills with a team-oriented mindset. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe PDF. Proficiency in ADP WorkForce Now Payroll platform.

Education/Experience:

Associate degree preferred; or a combination of education and proven experience in lieu of college degree will be considered. 3+ years of experience in payroll processing with a focus on multi-state tax compliance.
