SUMMARY DUTIES
The Payroll Specialist will be responsible for processing payroll for approximately 2,000 team members for both our Corporate and field-level team members. The ideal candidate will manage payroll in a multi-state environment, ensuring accuracy, timeliness, and compliance with applicable wage and hour laws and union contracts. In addition, must be familiar with state guidelines on leaves of absence, Paid Sick Leave, PTO accruals, and required pay-outs. This role requires three (3) years of experience (PayCom preferred), and a solid understanding of hourly and salaried payroll requirements. Prior Human Resources experience would be considered a plus, understanding wage/hour regulations, scheduling, and benefit deductions. This position will partner with the Human Resources Team on the on/offboarding of Team Members, company policy interpretation, employment verifications, unemployment processing, and wage garnishments. Experience with restaurant POS time reporting would be helpful.
KEY RESPONSIBILITIES
+ Process timely and accurate payroll (weekly and bi-weekly) for approximately 2,000 employees across multiple states, validating that all POS data is transferred accurately. + Point of contact for restaurant managers and field personnel on payroll-related matters, in an effort to maintain accurate employment records for both Payroll and Human Resources. Must be able to process payroll for employees with multiple rates, and apply TIP Credit as necessary. + Responsible for efficient workflows for on-boarding, off-boarding and the transfer of Team Member hours from each restaurant, making any necessary time adjustments and edits. Individual should have experience with direct deposit work flows and knowledge of county, state, federal payroll laws and deductions. + The Payroll Specialist will validate PTO requests, Paid Sick Leave, and assist with Leave of Absence processing, confirming Team Members’ eligibility. Must be familiar with FMLA rules and regulations. + This position will process verification of employment, wage statements, garnishments, term letters, and will manage the processing of unemployment claims. + The Payroll Specialist will manage vendor file exports, such as benefit feeds, union eligibility, 3rdparty platforms, making sure data transmitted is accurate, and Team Member deductions are correct. + Ensure compliance with federal, state, and local wage/hour laws, including overtime and break rules. Stay current on changes to labor laws and union regulations affecting payroll. + The Payroll Specialist will audit and validate Form I9 compliance and reporting, as well as partner with restaurant managers for training purposes. + Interpret and apply union contracts and collective bargaining agreements to payroll calculations. + Maintain and update payroll records, employee time tracking, deductions, and garnishments, and collaborate with HR, finance, and operations to resolve payroll discrepancies and inquiries. + Prepare and submit payroll tax filings, wage reports, and other compliance documents. + Support audits and respond to inquiries from regulatory agencies and union representatives. + Continuously review payroll system and process improvements and automation initiatives.
SKILLS AND QUALIFICATIONS
+ Four-year degree in Business Administration, Finance, Accounting, or related discipline. + Minimum of three (3) years’ experience processing payroll within multi state and tax entity environment. Prior Human Resources experience desired. Previous restaurant/retail experience is a plus. + PayCom experience is preferred, but not required. Position must have multi-state payroll processing experience in a multi-unit environment, therefore familiar with workflows, batch editing, payroll API feeds, and all the necessary tax filings. + Strong communication and problem solving and analytical skills. Must be able to review payroll records and work closely with Accounting on labor reporting, MICROS Analytics, and Fringe Benefit reports. + Bilingual (English/Spanish) would be helpful.
PHYSICAL DEMANDS
+ Expectations include working within a typical office environment with computers, phones and other office equipment. Position will be expected to use stairs and elevator to move about the building. Position may be expected to lift 10-15lbs, stand, sit and bend as required.
