Job Description

Overview The Payroll Coordinator; Time and Attendance is an important member of the Accounting Department with responsibilities to compile, audit, update, process and finalize computerized time and attendance reports/ printouts to timely and accurately process biweekly payrolls for AHRC Nassau and its Affiliates for which it provides payroll processing services. The position works closely with the Payroll team and across the various program locations. They demonstrate cultural awareness and actively support a culture of equity and inclusion Responsibilities Primary duties and responsibilities include but not limited to:

Time and Attendance:

Enrollment and troubleshoot employee time clock connectivity in the Time & Attendance application. Process and verify the accuracy of employee changes to ensure timely updates to enrollment, new hires, status changes, and profiles. Compile, audit, verify, and distribute daily computerized reports for review and accuracy. Ensure audits and internal follow-ups of payroll related data are accurate prior to payroll processing, including but not limited to approvals (Pay batches & exceeding hours). Reconcile pay batch and CSV file totals for accuracy.

Payroll:

Maintain communication with the Payroll Manager regarding any immediate payroll related issues or concerns. Assist with ensuring all documentation for leave of absence, PFL, and suspended employees is received and processed for accurate payment. Process and review biweekly electronic records, allocation of overtime, adjustments for salaried employees, holiday pay, and all related payroll transaction records to assign to their perspective department/cost center and job codes. Audit, review and process owed pay and orientation training hours for accurate biweekly payment. Provide assistance to employees’ pay inquiries with their biweekly hours and pay checks. Review requests, obtain approvals and distribute paper checks. Assist, audit and update accrual adjustments, accrual review and direct deposits in payroll system. Responsible to ensure all confidential payroll records are organized and neatly filed in their perspective folders and placed in storage boxes.

Audits & Reporting:

Generate Time & Attendance and Business Intelligence reports as requested by the Payroll Manager. Support the annual audit process by timely satisfying auditors request for data, including but not limited to timesheets and time and attendance batch information.

Assist with other accounting department projects. Qualifications Education and/ or experience required: Associate Degree plus 1-year relevant experience OR High School Diploma/ GED equivalent plus 5-years relevant experience Considered a

Plus:

Academic degree or pursuing an academic degree Fundamental Payroll Certification (FPC) Experience with: UKG Ulti-Pro, Kronos Dimensions, ADP Other electronic timekeeping systems and payroll vendors Skills, Licenses and/ or competencies required: Proficiency in Microsoft Office, Outlook, Excel and Word. Possess professional written and verbal interpersonal and communication skills – ability to relate and clearly communicate with operating management, financial staff and other departments. Must have excellent organizational skills, attention to detail, and confidentiality. Exhibit a sense of urgency in completion of tasks; flexible for overtime. There are no physical requirements for this position.
